As Executive Assistant to the Managing Director, you'll play a key role in the smooth running of Bernadette, facilitating effective leadership and supporting efficient ways of working. As EA, you will manage the smooth and efficient running of the MD's busy diary, sometimes across different time zones, handling all correspondence and administration that goes along with it - you will be the MD’s trusted right hand. You will also be the agency’s eyes and ears — anticipating needs and delivering proactive, efficient support to keep Bernadette moving toward our shared business goals and vision.
As EA, you will be a wizard in navigating Google Workspace and also very comfortable using Word, Excel, PowerPoint, and Keynote. The EA will build close relationships with all VCCP agencies, clients, liaising with all levels of management. As you will be dealing with confidential material, discretion is paramount. You should be highly organised, proactive, and diligent, thriving on helping others. Reliability and flexibility are a must, and the EA should be unphased when working at a fast pace.
Alongside day-to-day diary and schedule management, you will provide essential support to the leadership team and collaborate with various teams to create presentations for new business and client meetings, while crafting engaging proposals and presentations with their guidance and support.
We are looking for someone who is established in all these areas with a proven track record as an EA in an agency environment.
DUTIES AND RESPONSIBILITIES:
* Extensive and complicated diary management
* Understanding business priorities
* Collaborating closely with Heads of Departments to ensure everything runs smoothly
* Ability to think and make decisions quickly
* Acting as a gatekeeper
* Preparing for internal and external meetings
* Ensuring rooms are booked and ready, pre-reads/presentations/CVs are printed, and all attendees are in place
* Booking travel and managing itineraries with efficiency
* Managing timesheets and expenses in a timely manner
* Helping manage the end-of-month financial reviews
* Managing the annual appraisal process for Bernadette
* Being the social heartbeat of the company - organising company events, team-building activities, and spontaneous moments that bring people together
* Conducting research to support business strategies, presentations, and decision-making
* Creating agendas and taking minutes with precision
* Organising interns/work experience placements
