About the RoleAs part of the Business Support Team, the Receptionist and Hospitality Assistant will play a vital role in front-of-house operations, ensuring the smooth delivery of hospitality services and providing support to the Events Team. This position is key to creating a welcoming and professional environment for clients, visitors, and colleagues.
Key Responsibilities
* Coordinate catering and hospitality for meetings and events.
* Greet all visitors in a courteous and professional manner.
* Prepare and present breakfasts and lunches for meetings; ensure rooms are tidied afterwards.
* Manage reception calls, emails, and visitor queries efficiently.
* Ensure meeting rooms and client areas are well-maintained and fully stocked.
* Maintain confidentiality and security of all client and firm information.
* Support other departments with meeting-related needs.
* Keep the reception area neat and professional.
* Manage meeting room bookings and catering arrangements.
* Serve refreshments and oversee the ordering and presentation of in-house lunches.
* Clean and maintain kitchen and catering equipment and spaces.
* Process invoices accurately and in a timely manner.
* Carry out general administrative duties such as photocopying, scanning, and managing petty cash.
* Source and liaise with suppliers to ensure best value.
* Assist in planning and delivering internal and external events, including:
* Drinks receptions
* Networking events
* Social, sporting, CSR, and fundraising activities
* Christmas and summer parties, and year-end functions
* On-the-day support for events
* Provide administrative support to the Events Team, including managing the Christmas card mailing list and preparing delegate packs.Essential Experience
o A minimum of 2 years' experience in a similar receptionist or front-of-house role, preferably within a professional services environment.
o Previous experience in hospitality is desirable.
o Basic IT proficiency.
