About the Role
This is a busy and well varied role which will require much multi-tasking and prioritisation in what can be, at times, a pressurised environment. Confidence and communication will be critical. Experience in office management combined with reception duties is preferred. The job remit is diverse, and the right candidate will enjoy the breadth and variety the role offers.
Key Responsibilities
You will be expected to ensure that the reception and office operations are professionally managed and covered. Your main responsibilities and duties are outlined below; however, please note this list is not exhaustive.
* Managing the visitor experience: checking in visitors, guests, and contractors; announcing all guests into the office; meeting and greeting key clients, including offering refreshments; setting up meeting rooms and AV equipment as required.
* Managing the colleague experience: maintaining the entire office to a high standard of professionalism and cleanliness - particularly meeting rooms and client areas; arranging snacks and fruit for employees; newspaper layout; snagging, etc.
* Managing the switchboard and generic emails.
* Assisting with ordering food, beverages, stationery, and general office supplies, including monitoring stock levels.
* Health and safety management: conducting risk assessments, reviewing policies for updates, and completing accident and near-miss reporting.
* Liaising with suppliers and contractors such as building management, printers, caterers, etc.
* Arranging travel bookings for the office.
* Document formatting, printing, and binding.
* Booking couriers and managing incoming/outgoing post.
* Inputting expenses for corporate cards.
* Providing remote assistance to the Sodali & Co Dublin team, including travel arrangements.
* Assisting the HR team with onboarding and offboarding employees.
* Supporting the marketing team and company with in-office events, including registering guests, raising permits, and ordering catering.
* Providing ad-hoc secretarial and administrative support as required.
Key Competencies
Ideally, you will have broad experience working within office functions such as administration, front-of-house reception, and office management.
Being proactive and a confident self-starter, able to manage your day-to-day tasks and the business as a whole is key. Able to work under pressure in a fast-paced environment.
Good presentation and excellent communication skills are essential, with English as your first language or at a fluent level.
A First Aid at Work and/or Fire Warden qualification would be beneficial; if you do not already have these, a willingness to obtain them is necessary.
Excellent overall knowledge of Office 365 applications and strong general IT skills are essential.
This role will be based in the office 5 days a week.
