PA Administrator, Museum, Central London, 10 week temp booking, c.£15.00 per hour plus holiday accrual, hybrid working
High profile Museum needs proactive and well presented EA and Department Administrator to help with all aspects of Department activity and ensure the Director’s diary is well organised. This is a varied and interesting temp role supporting the team at an exciting time. As the Director of Development is responsible for income generating teams you will regularly engage with senior stakeholders, acting as first point of contact. You will take a flexible approach and be able to work on a hybrid basis and on site when needed. A proactive approach is essential.
Responsibilities include:
Acting as first point of contact for the Director of Development, managing emails, phone calls, and correspondence
Managing the Director’s calendar, including travel arrangements
Liaising with key donors, sponsors, and stakeholders, keeping contact details up-to-date in the database
Supporting at Museum events with an understanding of the importance of fundraising to the Museum
Preparing meeting agendas, materials, and take minutes as needed, ensuring follow-up actions are recorded and completed
Processing expenses and purchase orders for the Director and the department, ensuring compliance with financial guidelines
Overseeing departmental supplies and ensuring efficient office operations
Coordinate logistics for VIP/benefactor visits and Museum events, including liaising with Security
Providing administrative assistance for volunteer committees, assisting with document preparation
You will have:
An understanding of the Museum, its approach to fundraising, its supporters, and the relevance of the key issues to the department
The ability to manage diaries and travel arrangements efficiently plus take notes at meetings
The ability to handle confidential information appropriately with discretion at all times
First class communication skills with the ability to build inter departmental relationships
The skills to support the Director of Development in managing their relationships with key stakeholders
Excellent drafting, editing and proofreading skills – to be able to produce high-quality written work quickly
A professional and friendly manner – very well presented
The ability to work unsupervised, accurately
