Job Purpose The Systems Development & CAFM Manager is responsible for the strategic management, development and optimisation of CAFM systems, operational systems and asset data to support the safe, effective and efficient delivery of Building, Engineering & Maintenance (BEM) services across the firm. The role combines technical systems leadership, asset and data governance, operational oversight, and people management, ensuring compliance, performance excellence and continuous improvement. Key Responsibilities 1. CAFM & Systems Management (MRI Evolution & EvoGO) Act as the Trust’s lead for the MRI Evolution CAFM system and EvoGO mobile platform. Oversee PPM creation, scheduling, assignment, lifecycle management and workflow visibility. Write, review and update PPM instruction sets in line with SFG20, statutory requirements and engineering best practice. Design, implement and continuously improve CAFM workflows to drive standardisation, efficiency and compliance. Troubleshoot system issues and liaise with MRI Support, Unified Communications and internal stakeholders. Monitor system performance and produce regular operational and performance reports. Lead system upgrades, enhancements, testing and staff training for Evolution and EvoGO. 2. Asset & Data Management Maintain and govern the electronic asset register, ensuring accuracy, consistency and compliance. Review, cleanse and validate asset data from engineers, contractors and external providers. Challenge incomplete or inaccurate asset information to maintain high data quality standards. Prepare datasets for bulk uploads, manage large-scale asset imports and manual asset updates. Conduct routine asset audits, exception reviews and corrective data work. Produce compliance, statutory, mandatory maintenance and KPI reports. 3. Operational Systems & Digital Tools Manage key operational systems including: K4B Contractor Sign-In System HealthRoster (shift scheduling, bank shifts, rota cycles and clocking exceptions) Traka key, locker and device management systems Ensure operational systems support 24/7 service delivery and accurate workforce management. 4. Workforce, Training & Compliance Coordinate departmental training to ensure statutory, mandatory and role-specific compliance. Maintain accurate training records and monitor renewal dates. Liaise with training providers, managers and internal teams to schedule and track attendance. Ensure staff induction processes are completed for all new starters. 5. Leadership, People & Performance Management Manage, develop and performance-manage directly employed and contracted staff. Promote Trust values of Safe, Kind and Excellent through leadership and day-to-day management. Conduct annual appraisals, maintain development plans and manage capability, disciplinary and grievance processes. Ensure appropriate organisational structures are in place to support service delivery. Provide senior cover, deputise when required and support change management initiatives. 6. Service Delivery, Governance & Continuous Improvement Ensure services are delivered efficiently, cost-effectively and in line with Service Level Agreements. Monitor and document provider performance against agreed specifications. Arrange audits, reviews and inspections, using findings to drive improvement. Develop and update departmental policies, procedures and safe systems of work. Lead on risk management, contributing to the Trust risk register and mitigation strategies. 7. Reporting, Stakeholder Engagement & Assurance Produce timely, accurate KPI reports, compliance dashboards and performance summaries. Support ERIC returns, FOI requests, Estates CAS Alerts and statutory reporting requirements. Communicate complex technical information clearly to non-technical stakeholders. Maintain effective communication networks and relationships with senior leaders, managers and external partners. 8. Health, Safety & Technical Assurance Ensure compliance with all relevant legislation, Trust policies, HTMs, industry standards and H&S requirements. Provide technical assurance for systems and services under the post holder’s control. Support Health & Safety meetings, incident investigations, risk assessments and safety programmes. Maintain awareness of technological developments relevant to estates and facilities management. 9. Project & Strategic Support Act as Project Manager for BEM-related systems, data and information projects. Develop and maintain document management structures and act as system gatekeeper. Support annual business planning and long-term service delivery strategies. Advise on the most effective and commercially advantageous service delivery models (in-house vs outsourced). 10. General & Cross-Cover Responsibilities Provide cross-cover across administration and operational teams as required. Support PPM coordination, scheduling and workflow management during peak periods. Undertake general office management and basic IT support duties when required. Carry out reception and front-of-house duties as needed. Professional Expertise & Knowledge Significant experience in CAFM systems management, preferably MRI Evolution. Strong understanding of asset management, PPM scheduling, statutory compliance and estates operations within a large, complex environment. Proven leadership and people management experience. Ability to analyse complex data, manage competing priorities and deliver continuous improvement. Strong communication skills with the ability to influence technical and non-technical stakeholders.
