Shotfield Medical Practice are looking for a part-time receptionist to work within our reception team.
This is a patient facing role, you will need to be articulate, work well within a busy team. You will also need to be patient, efficient, professional with good attention to detail and be flexible.
The shift pattern is Wednesday 1-7:30pm and Friday afternoons 1-6.30pm.
You will also be required to cover other shift patterns for sickness and annual leave, sometimes at short notice.

Job Purpose
Towork as part of the reception team to deliver an effective and efficientreception service to the patients of the practice and any other visitors. To work as part of the wider primary care team to deliver high qualityprimary care services to the registered population.

Shotfield Medical Practice is composed of four fulltime GP partners, five part-time salaried GP, one PhysiciansAssociate, one full-time Pharmacist and a comprehensive nursing team and administrative support teamproviding primary care services to a registered population of approximately 13000patients across Wallington and some of Sutton, Carshalton and Beddington.
We are a busy, but friendly practice. The reception team have 10 part time staff and two part-time reception leads.
Job responsibilities
* Greeting patients onarrival, handling enquiries effectively and efficiently.
* Receiving incoming telephonecalls, ensuring appropriate actions, dealing with enquiries and takingmessages as required.
* To makeappointments and to cancel or re-arrange appointments as required.
* To explainpractice boundaries, arrangements and formal requirements to new patientsand those seeking temporary cover, ensuring all procedures and paperworkis completed to a satisfactory level.
* Processing repeatprescription requests in line with the practice procedure, directing toother staff and appropriate pharmacies where required.
* To advisepatients of relevant charges for non-nhs services received, acceptingpayment, recording money received and issuing receipts.
* To book, hand out andcollect back items of equipment to be used by patients in their home suchas 24 hr blood pressure monitors.
* Extracting and filing ofmedical records from central filing system accurately.
* Updating patient recordsboth on the clinical system and in hard copy as required following changeof name, address, phone numbers, next of kin and with any other relevantdetails
* Booking interpretingservices for patients who are hard of hearing or require a language translationservice
* Being aware of otherexternal services that are offered through the surgery and knowing how to referand contact the provider if necessary (ie counselling)
* Collecting samples frompatients and ensuring they are stored and/or collected in an appropriatemanner for transfer to hospital or passing those for internal testing tothe relevant clinician
* Undertaking other tasks asrequired by Practice Nurses or GPs.
* Collecting, sorting anddistributing post to all service users.
* Following the procedurefor opening and closing of the Health Centre at the start/end of eachworking day ensuring all areas are safe and secure.
* Fully utilising the surgeryclinical computerised system to manage appointments, update records,reviewing results and for any other legitimate reason and in line withpractice procedures.
* To assist with patientrecall by the sending of letters and inclusion of relevant diagnosticforms and instructions.
* To assist other teams andmembers of staff where required, including providing cover as required attimes other than your usual working hours and sometimes at short notice.
* To provide a chaperoneservice to clinicians outside the working hours of other general adminstaff (early and late in the day) as required
* To keep the reception andwaiting room areas tidy and to ensure relevant stock is held at receptionfor all staff to access as required (this includes forms, practicebooklets, appointment cards and other similar items).
* Attending reception teamand full admin team meetings on a regular basis.
* Any other dutiesconsidered appropriate to the role at the absolute discretion of the ReceptionCo-ordinator, Senior Administrator, Practice Manager or Partners.

Skills and Abilities
* Able to communicate effectively both verbally and in writing.
* Good telephone manner.

* Computer literate including familiarity with the use of windows software.
* Working knowledge of Microsoft Word and other Office products.
* Good working knowledge of EMIS clinical software.
Qualifications
* Good standard of general education.
* An understanding of the importance of patient confidentiality.
* Reception or administration qualification.
* Knowledge of medical terminology.
Experience
* Previous experience of working in an environment requiring contact with the public.
* Previous experience of working in a GP Practice or NHS setting.
* Able to work as part of a team.
* Attention to detail and willingness to help others.
* Able to remain calm under pressure.
* Flexibility to meet the needs of the practice.
* Flexibility to cover additional shifts as required, sometimes at short notice.
* Willingness to learn.
