About the Role
We’re looking for a highly organised, take-charge Events Marketing Coordinator to own the planning and execution of our company events and marketing coordination. This role sits at the heart of our community engagement efforts, supporting sales and recruitment conferences, roundtables, and community events for our staff and international bank of radiologists, while keeping everything running smoothly behind the scenes.
You’ll be the go-to person for event logistics, travel coordination, and post-event marketing follow-ups — making sure every interaction with our radiologists, partners, and team feels thoughtful and well-executed. You’ll have excellent communication, thrive in social situations, and have a take-charge attitude.
Key Responsibilities
* Event Management: Plan, coordinate, and attend industry conferences, including managing sponsored booths and on-site logistics.
* Organise and host roundtable events, from venue selection to guest experience.
* Create and deliver engaging community events for our radiologists and internal staff.
* Act as the primary point of contact for event vendors, venues, and external partners.
* Set up and host online events, webinars and podcasts.
* Ensure events align with brand, messaging, and overall business objectives.
Community Engagement
* Create engaging content for newsletters and internal portal for our bank of international radiologists.
* Monitor newsletter performance including open rates, read rates, and engagement metrics.
* Work with internal stakeholders to source stories, updates, and insights for regular communications.
* Coordinate and negotiate deals/partnerships for radiologists to gain access to educational resources, attend courses, and conferences.
Marketing & CRM Follow-Up
* Capture and manage contacts gathered from events.
* Own post-event follow-up processes within HubSpot, including data entry, tagging, and campaign support.
* Work closely with marketing to ensure timely and relevant follow-up communications.
* Maintain clean, accurate CRM records and event reporting.
Travel & Logistics Coordination
* Manage all travel arrangements related to events, including flights, accommodation, and schedules.
* Coordinate diaries and logistics for attending staff to ensure smooth event attendance.
* Handle budgets, bookings, and expense tracking related to events and travel.
Merchandise Management
* Manage the sourcing, ordering, storage, and distribution of company merchandise.
* Ensure merchandise is aligned with brand guidelines and available for events and internal use.
* Track inventory and coordinate re-orders as needed.
Essential Skills

* You’re a confident communicator who is comfortable hosting events, connecting people, and being the glue that keeps things together.
* You’re high energy and super focused.
* You enjoy being on the road to set up and attend events a few times a month.
* You’re comfortable negotiating with vendors.
* You have excellent written and verbal communication skills.
* You’re highly organized with great attention to detail.
* Experience using CRM systems (HubSpot preferred) would be great.

* Event contacts are accurately captured and followed up in HubSpot.
* Budgets are closely monitored and met.
* Travel, logistics, and office operations are seamless and well-organised.

* Internal teams feel supported and confident in event execution.
