We are seeking a motivated, caring, and compassionate individual to join the Divisional Operational HR team in the role of Human Resources Assistant. The successful candidate will start as an HR Apprentice and, upon completion, progress into the substantive Human Resources Assistant role.
Responsibilities
* Provide integrated resourcing support, including recruitment and transactional HR services.
* Serve as first point of contact for general HR enquiries, including managing the Ask HR Inbox.
* Ensure professional staff are qualified and registered with relevant professional bodies.
* Process Disclosure and Barring Service checks and monitor DBS updates.
* Participate in internal and external careers and recruitment events.
* Attend and participate in regular team meetings.
* Adhere to the assurance framework for the delivery of the service.
* Develop effective working relationships within designated Division/Directorates.
* Carry out regular monitoring checks via ESR to manage organisational risk regarding transactional HR services.
* Support the Division/Directorates with transactional duties such as production of honorary contracts for clinicians.
* Escalate issues and seek advice from the Human Resources Business Partner.
* Communicate initial pay‑progression details to line managers.
* Manage TWIMC letters and reference requests.
* Issue work schedules with an 8‑week lead time.
* Run basic attendance‑management reports from ESR.
* Organise employee‑relations meetings as appropriate.
* Record on ESR sickness stages, flexible‑working requests, fixed‑term contracts, disciplinary, grievance, bullying, harassment, and performance‑management stages.
* Provide a high‑quality resourcing service for medical and dental staff.
* Ensure recruitment compliance with best practice, protocols, and statutory requirements.
* Administer the recruitment and selection process for medical colleagues.
* Maintain recruitment files and monitor shortlisting and appointment outcomes.
* Input personal details for new staff onto the Trust’s Payroll Information System (ESR).
* Administer the NHS Jobs website (e‑recruitment).
* Prepare pre‑employment letters and offer letters.
* Identify restrictions on working in the UK and advise recruiting managers and Corporate WOD team about sponsorship where needed.
* Collate electronic personal files for medical staff and ensure file‑management protocol adherence.
* Ensure recruitment systems and processes comply with legislative developments and Trust policy.
* Submit payroll documentation authorised for payroll deadlines.
* Support doctor’s‑in‑training change‑over processes as required.
* Contribute to departmental development, supporting innovation and modernisation.
