Administrator (Part Time 3 days per week) Canvey Island We are looking for a highly organised and proactive Administrator to join our team, supporting the safe and efficient day-to-day operation of our Terminal. Reporting directly to the Business Support Lead, this is a varied and hands-on role where no two days are the same. This position is ideal for someone who thrives in a fast-paced environment, enjoys taking ownership, and can confidently balance administrative duties with operational support. As an Administrator, you will play a key role in ensuring the smooth running of the site by providing comprehensive administrative and operational support across multiple functions, including office management, safety, compliance, and project coordination. Key responsibilities will include: Manage stock administration and inventory control (demand-to-stock processes) Maintain SAP data and administer purchase orders Process invoices and support financial administration Maintain filing systems and document control processes Coordinate calendars, meetings, and room bookings Act as the focal point for internal communications Handle queries, staff enquiries, and general administrative tasks Oversee database management and shared drives Support overtime and holiday tracking Organise on-site events and daily operational meetings Safety & Emergency Response Act as a First Responder (Muster Warden) and First Aid responder Provide support as a secondary responder (scribe to Site Management Controller) Manage visitor inductions and site access processes Oversee PPE ordering and distribution Conduct monthly safety walkabouts Maintain ECO Online system inputs and monitoring Compliance & Operations Support Manage waste documentation and compliance requirements Support shipping documentation, including customs and excise Assist with maintaining safe operations across Production, HSE, Maintenance, and Projects Project Support Coordinate meetings, room allocations, and inductions for site projects Support purchase order requests and documentation reviews Monitor contractor facilities (e.g., welfare units) Maintain accurate project data within systems Skills and Experience Essential Previous administrative experience in a busy environment Strong knowledge of Microsoft Office (Outlook, Excel, Teams) Excellent organisational and planning skills High attention to detail Strong written and verbal communication skills Desirable Experience within Oil & Gas or a similar industrial environment Understanding of terminal operations or site-based work environments Personal Attributes Proactive with the ability to use own initiative Able to work independently and as part of a team Professional and confident in approach Comfortable working under pressure, including emergency situations Strong awareness of safety and site protocols We look for people who are open minded, embrace new ways of working, step out of their comfort zone seek out new opportunities and look to continuously learn.
