Job title: Working Denbighshire Monitoring, Compliance and Administration Officer Job Category: Housing Hours per week: 37 Location: East Parade, Rhyl, Denbighshire, LL18 3 AH, Denbighshire County Council Pay: £17.47 per hour Must live locally to Denbighshire and be able to work in the office a minimum of 4 days a week Job Purpose The Monitoring and administration officer will be expected to make a significant contribution to the implementation of the Denbighshire Economic Inactivity Trailblazer. In particular, ensuring that the objectives and targets for the projects are met and that all participants documentation is compliant subject to audit procedures, also support the Project Manager with the administration function for the project to ensure efficient delivery. Principal Accountabilities and Responsibilities Working within the Working Denbighshire Service, liaise with other monitoring and compliance officers to ensure a consistent approach to project monitoring. Maintain effective monitoring & evaluation processes for the project whilst embedding those implemented by other projects within Working Denbighshire to avoid any duplication. Monitor participants progress on the projects whilst ensuring that Information Sharing Protocols are adhered to. Oversee and monitor the use of soft outcomes measurement tools. Ensure that all participants files are recorded in a consistent manner with supporting evidence of eligibility criteria as set out by individual projects and lead bodies within the programme. Deal with visitors / enquiries. Organise events / meetings as required. Analyse and evaluate data/information and produce reports/information/data as required Compile and collate complex documents and other IT based tasks. Provide administrative and organisational support to project manager including minute taking. Operate relevant equipment/ICT packages (e.g. Word, Excel, databases, spreadsheets, internet) including AI systems Process invoices, monitoring and inputting onto budget spreadsheets. Provide guidance and support to staff and others on monitoring and compliance issues and request information where relevant to support participants files. Ensure confidentiality is maintained at all times. Undertake other relevant duties as agreed by Line Manager. Resources/Equipment/Material Laptop Supervision/Management of People N/A Knowledge, Skills, Training and Experience The post holder will have an HNC or equivalent and will have at least 3 years experience of working in the public, voluntary or community sector, ideally in a position with a leading role in developing or managing project monitoring systems. Understanding of funding/ grant terms and conditions is essential. They will be responsible for the preparation of high quality reports and presenting them to senior colleagues, voluntary organisations, other agencies etc. Good communication skills and an ability to command professional credibility across a wide range of organisations will be essential, as will sound organisational abilities. Excellent organisational skills and ability to work to tight deadlines. Given the nature of this post, the ability to speak Welsh is desirable.. EDUCATION & QUALIFICATIONS Educated to HNC Level or at least three years� experience in a similar position. Knowledge of ESF / Grant funded projects. A graduate or holding an equivalent qualification, with experience in the public, voluntary or community sectors. 2. RELEVANT EXPERIENCE At least 3 years� experience of working in the public, voluntary or community sector ideally in a social care, educational or employment advice setting. Preparation of high quality reports and presenting them to senior colleagues, voluntary organizations, other agencies etc. Proven record of being able to work effectively with a range of organisations Experience of implementing evaluation systems Implementation of Information sharing protocols. 3. JOB RELATED KNOWLEDGE & SKILLS Good communication skills and ability to command professional credibility across a wide range of organisations. Sound organisational abilities. Good quality I.T. skills & report writing skills. Excellent presentational skills. Ability to work independently with drive and determination in relation to meeting objectives and targets. 4. PERSONAL QUALITIES Highly motivated and capable of working as part of a team/on own initiative and build and maintain effective and supportive relationships with peers and partners on all levels and across organisations. Self-motivated with a strong work ethic. Ability to prioritise work, deal with conflicting priorities and meet deadlines. Demonstrable ability of working within established guidelines and procedures and able to problem solve. Excellent verbal and non-verbal communication skills 5. OTHER REQUIREMENTS Empathy with the Welsh Language and Culture
