Job Title: Project Coordinator Hours: 35 hours per week Duration: Fixed term to end March 2027 Reports to: Programme Lead Salary: c.£29,000 - £32,500, depending on experience Location: The Promise Scotland office is located in Charlotte House, 2 South Charlotte Street Edinburgh. There is also a collaborative space in Glasgow. Flexible working arrangements will also apply to this role and an element of home working will be supported. Job Context The Promise Scotland exists to support the transformation of how Scotland cares for its children, care experienced adults and families. We want to ensure that Scotland’s children grow up loved, safe and respected, so that they realise their full potential. Once the promise was made, Scotland agreed to change how it cared for its children, young people and care experienced adults. The Promise Scotland was then set up to help those who need to make changes. The Promise Scotland’s purpose is to: · support Scotland to create the change demanded by the Independent Care Review. · monitor Scotland’s progress to keep the promise. We will not be here after 2030, because that is when the promise must be kept. Currently, our work is aligned to our strategic workplan, which sets out our priorities until the end of September 2026. But as Scotland progresses on its journey to keep the promise, The Promise Scotland will adapt and change to ensure our work is always focussed on the right areas. Job Purpose This is a new role, providing the cross-functional support to enable the delivery of strategic priorities. The Project Coordinator will support the planning, implementation, monitoring, and delivery of projects in alignment with strategic priorities. This role ensures that project activities are well-organised, documented, and delivered on time, within scope and budget, while complying with standards and policies. Main Duties Project coordination and planning: o Maintain and regularly update project plans, ensuring all actions and activities are aligned, tracked, and progressing to schedule. o Work with colleagues across The Promise Scotland to track and coordinate key activities in line with strategic priorities. o Support the coordination of key stakeholder meetings, including preparation of materials, minute taking and providing facilitation support. o Maintain shared drives and files in accordance with information management and GDPR policies. o Support procurement processes by coordinating with finance and operations team, and monitoring contract timelines. o Ensure alignment of project activities with organisational priorities and values Stakeholder & Communications Support: o Act as a liaison point between project teams and internal/external stakeholders to support effective engagement. o Coordinate consultation processes, surveys, or public engagement activities as required. o Draft communications materials such as email updates, newsletters, and presentation slides. Resource & Financial Coordination: o Monitor and update project budgets, expenditure logs, and cost trackers in line with finance protocols. o Assist in compiling financial returns, performance reports, and resource forecasts for project leads. o Help coordinate staffing and scheduling requirements, onboarding new team members or contributors as needed. Continuous Improvement & Learning: o Identify and contribute to improvements in project processes, documentation, and reporting tools. o Participate in internal training and network meetings, to support personal and team development. o Champion the use of inclusive, sustainable, and evidence-based approaches across all project work. Essential Criteria Proven experience in a project coordination or similar projects role. Strong organisational skills and attention to detail. Ability to produce accessible, high-quality reports and plans. Proficiency with project planning and other organisational tools such as Basecamp, Trello and CRMs. Ability to manage competing priorities and work flexibly. Good relationship management skills to work with colleagues and stakeholders to ensure effective and collaborative working. A flexible approach, able to operate in a new and shifting environment. Able to use own initiative, work independently and manage work proactively. Strong IT skills, able to work with new systems and support team members to use systems effectively. Desirable Criteria Experience of working with or within the public and/or third sector in Scotland. Experience supporting collaborative and/or cross-sector working. Relevant Qualifications (e.g., PRINCE2 Foundation, CAPM, APM Fundamentals). Confidence using collaborative online facilitation tools such as Mural. The nature of the job demands a strong ethical approach. Working Conditions The Promise Scotland is based in Charlotte House, in Central Edinburgh.
