Job Description:
Job Purpose
Act as first point of contact on the School of Engineering’s Teaching Office reception desk providing comprehensive administrative support to the school’s academic and administrative staff as well as to undergraduate and postgraduate Engineering students. Be responsible for maintaining key systems within the School of Engineering Teaching Office related to teaching and quality assurance.
Main Duties and Responsibilities
1. Act as a first point of contact at reception in a busy teaching office for staff, students and internal/external customers, communicating efficiently, effectively and courteously.
2. Provide administrative support to student conduct cases including logging of cases, liaison with the Senate office and clerking of School conduct meetings.
3. Provide administrative support to disciplines in the School of Engineering, including clerking discipline meetings, making use of University systems (such as Sharepoint), and producing accurate minutes.
4. Support quality assurance activities, including processing course and programme changes and preparing accreditation documentation.
5. Administer examinations, prepare exam papers, liaise with external examiners, and publish results.
6. Archive examination materials according to the University retention plan.
7. Maintain office equipment, notices, and stationery stores; contribute to improving office procedures.
8. Monitor and approve room bookings within the School of Engineering.
9. Undertake other duties as directed by the Head of the Teaching Office.
Knowledge, Qualifications, Skills, and Experience
Essential: VQ 2/3, Standard Grades or equivalent including English; proven administrative skills; ability to work under pressure; initiative; discretion; attention to detail; flexibility; problem-solving skills.
Desirable: Knowledge of University systems; experience within Higher Education; experience with student records systems and teaching administration.

Terms and Conditions: Salary: Grade 4, £22,681 - £25,138 per annum pro rata. Part-time (17.5 hours/week). Covering maternity leave for up to 12 months. Shift pattern: Monday and Tuesday 9am-5pm, Wednesday 9am-12.30pm. Benefits include generous leave, pension, flexible working, health and wellbeing support, and more.
