To develop, organise and maintain the provision of a high quality Family History Service to answer the needs and requirements necessary in running this Service.
Main duties of the job
·To deliver the call/recall and administrative function related to family history and increased risk breast screening, including a close collaboration with the MRI department, external genetic services and BARD acting on receipt of new very high-risk referrals. Ensuring that the relevant protocols are used for all Family History and increased risk screening.
·To possess a high level of personal time management, organisation and planning skills. Ensuring that when working autonomously, to set protocols and boundaries, and ensure the administrative processes works effectively, especially during the management of VHR, Higher, High Risk and Moderate patients.

Detailed job description and main responsibilities
KEY RESPONSIBILITIES
1. Responds to all referrals from GPs and external service providers, and prepare cases and paperwork for Screening Nurse and Hospital Practitioner assessment and completion of genetics history.
2. To generate computer statistical performance reports as required by the Clinical Director, Manager, Strategic Health Authority, PCTs, GPs, Regional QA Reference Centre and other requesting sources, and to produce Audit reports for service needs and development.
3. To actively participate in service planning of the Family History service.
4. Manage software updates to the NHSBSP Family History programme and FAHRAS Risk Assessment programme.
5. To be able to operate the Trust’s IPM and CRIS systems and all Microsoft packages. Have access and understand the BS Select system to validate clients’ registration and status details.
6. To keep up to date with protocols and QMS policies and procedures for Family History Screening.
7. To liaise nationally with Breast Screening Services, Genetic Services and locally with GP’s Service Providers and general public to ensure work is co-ordinated internally and externally.
8. Initiate and maintain contact before, during and after the screening by general correspondence and reports.
9. To book and have oversight of the planning of the family history screening clinics and new patient appointments including escalating increasing waiting time to the deputy service manager and service manager.
10. To subsequently manage service provision in line with their recommendations.
11. To liaise with main X-Ray at the Luton and Dunstable NHS Foundation Trust for referrals for MRI, to ensure Very high risk Clients are screened within the National guidelines timeframe.
12. Responsible for generating all MRI letters within strict timeframes for non- responders
13. As a result of a positive screen, arrange onward referral to Breast Clinic as appropriate.
14. Training and supporting new administrative staff, ensuring Family History workload is managed efficiently.
CLINIC MANAGEMENT
15. To establish and administer all clinic appointments and schedules to comply with National Family History guidelines for both moderate risk and very high risk services.
16. Perform reception duties for this clinic and liaise with all staff disciplines to ensure smooth running of the counselling clinics
17. Generate all correspondence to the client and GP including information about the service, the appointment and screening results.
18. Type dictated clinic letters and responses to GP or patient enquiries
19. Audit clinics held, and analyse clinic list for attendee’s and non-attendee’s and reconcile outcomes
20. To respond to all enquires, telephone, electronic and paper systems from clients and other sources regarding Family History screening clinics and ensure queries are sympathetically dealt with in a timely fashion giving non-clinical advice as necessary
