Description/Job Summary
To be responsible for the day-to-day coordination of the Assistant teams, ensuring the service delivery is efficient and effective. Providing high level and proactive support to the Senior Administration Services Manager.


Responsibilities

* Provide administrative and operational support to the Senior Administration Services Manager, keeping key documents up to date, producing reports etc.
* Take a proactive approach towards continual development and improvement of team processes/ways of working, spotting opportunities to streamline the running of the team.
* Coordinate the allocation of assistants to fee earners upon joining, discussing changes/additions with assistants, fee earners and Senior Administration Services Manager.
* Maintain the allocation database for all teams and work closely with the assistants and Senior Administration Services Manager to ensure allocations are fair and manageable and cover works effectively.
* Coordinate work overflow during busy periods, liaising with secretaries and fee earners, seeking support from the wider London team where necessary.
* Responsible for the advance planning of team holiday and absence, making the decision whether float support or team cover is required. Escalating potential issues to the Senior Administration Services Manager.
* Communicate individual team members absence to the fee earners where required.
* Assist in the recruitment of new team members, reviewing CV’s, marking test documents and supporting the Senior Administration Manager throughout the interview process.
* Coordinate the induction of new associates and assistants, attending induction meetings and following up with relevant documentation.
* Play a key role in the assistant appraisal process, coordinating feedback collation from fee earners.
* Provide input for probation and performance appraisal discussions.
* Respond to employee concerns in a helpful and fitting manner, while escalating complicated matters to the Senior Administration Services Manager.
* Assist with team meetings, preparing the agenda, ensuring minutes are taken and distributed.
* Maintain the London office Assistant Handbook.
* Act as deputy for the Senior Administration Services Manager in their absence.


Required Skills

* Professional and courteous manner, building and maintaining effective working relationships.
* Extensive knowledge of MS Word, MS Excel, MS PowerPoint, MS Outlook and other MS Office products is essential.
* Knowledge of document management systems.
* Fast and accurate typing with excellent attention to detail.
* Ability to prioritise workload.
* Ability to self-manage and deal with conflicting priorities from different sources.
* Excellent communication and organisational skills with the ability to communicate with staff at all levels, including Partners and clients.
* Ability to work effectively within a team as well as independently.
* Must be flexible.


Details

Monday - Friday, 9.30 a.m. to 5.30 p.m.
