The positionBased in our Glasgow Office, this role will provide comprehensive People & Culture (P&C) administration, support and advice to the RES P&C team. Working closely with the Director of P&C Operations, and P&C Partners you will work together to ensure a high-quality HR service is delivered to the business.This role will be based in our Glasgow office on a hybrid basis.Organisational Context
1. Work in the P&C team, reporting into the Director of P&C Operations
2. Handles sensitive and personal data – required to comply with DPA/GDPR and professional confidentiality.
3. Efficient at managing correspondence and requests for information from employees and line managers.
Key Accountabilities
4. Own the administrative actions for the onboarding process ensuring that all pre-employment checks have been accurately completed in a timely manner and before new employees start at RES, raising any issues to the P&C Partners
5. Action the leaver process confirming details to payroll, IT and finance
6. All employee's personal data is maintained accurately within the HR Information system (HRIS)
7. Prepare monthly handover information for payroll to ensure all starters, leavers, changes and benefit selections are captured.
8. Confirm successful probation periods and extensions liaising with the relevant P&C Partner for confirmation
9. Co-ordinate and respond to queries that are received in Service Now, assigning to the relevant team member where necessary.
10. Action all change requests received from managers and P&C Partners ensuring that personal files are maintained on the HRIS.
11. Administer HR-related documentation, such as family leave, references, special leave requests.
12. Perform audits of the HRIS to check for missing information
13. Respond to statutory requests for information.
14. Administer the benefits portal in respect of starters, leavers changes and log in issues.
15. Manage the PACE rewards scheme, long service award process and voucher schemes
16. Work with the ServiceNow System Administrator to improve and make the P&C Service Now area more efficient for employees and for the P&C team
17. Co-ordinate approval processes for all benefits and salary sacrifice schemes
18. Support other members of the P&C team as and when required
19. Support the P&C team as required with new HR initiatives and projects.
20. Support the P&C team in developing and implementing changes to HR policies and procedures
21. Undertake project work that relates to the delivery of the Group HR Strategic Objectives and as defined in your Performance Development Review.
22. Provide accurate reports when requested by other parts of the business
23. Assist with training of newer team members
Knowledge
24. Basic knowledge of HR Policies/Employment Legislation.
Skills
25. Ability to work in a professional environment with confidential data
26. Ability to work effectively as part of a HR team.
27. High level of numeracy and analytical competency
28. Excellent interpersonal skills.
29. Excellent communication skills, both verbally and in writing.
30. Excellent internal and external customer service focus.
31. Well organised approach to work
Experience
32. Use of Information Systems / Databases
33. Intermediate user of MS Office Packages (Excel, Word, PowerPoint) is essential.
34. Successfully managed own workload and can demonstrate successful completion against challenging timescales and targets
