Avondale Foods is a leading food manufacturing company of Fresh and Chilled products supplying leading retail businesses including Marks & Spencer, Waitrose, Dunnes, Morrisons, Aldi & Lidl throughout the UK & Ireland. The Administrative Assistant will report directly to the Head of HR and work as part of a well-established HR team. This role will involve managing and coordinating the daily operations of the office to ensure smooth and efficient functioning. The Administrative Assistant will also support the HR team with a range of administrative tasks, ensuring that all HR-related processes are compliant and well-maintained. Additionally, the role requires setting a positive example by upholding and promoting adherence to company policies and procedures, particularly those related to Product Quality, Food Safety, and Integrity. Key Responsibilities Maintain the HR systems and databases, ensuring compliance with GDPR and accurate reporting. Manage and organise HR documentation including employee records, contracts, and confidential files. Create and maintain employee files and leaver data, ensuring information is stored in line with Avondales retention policy. Maintain HR databases and update employee information accurately Attend and provide support during new employee inductions to ensure accurate completion of paperwork and onboarding of employees. Assist with recruitment processes, such as scheduling interviews and coordinating candidate communications. Attend occasional recruitment events/conferences in conjunction with the HR Dept. Maintain various HR Trackers and liaise with management when necessary in accordance to company policies. Generate weekly reports and key performance indicators (KPIs) using data from multiple HR sources. Oversee the upkeep of manual HR records, with the goal of transitioning to a digital HR information system. Collate incoming information systematically and disseminate to designated recipients Take minutes during HR meetings and distribute them to relevant personnel. Contribute to the development of a culture of Integrity, collaboration do the right thing approach in all interactions. Ensure Food Safety compliance with company policies and regulatory requirements to remain audit-ready at all times. Ensure confidentiality and security of sensitive HR data at all times. Essential Criteria Minimum of 2 years experience in a similar administrative role. Ability to uphold confidentiality at all times, frequently dealing with highly sensitive information Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Attention to detail and accuracy in work Excellent written and verbal communication abilities Ability to multitask and prioritise workload effectively Flexibility and adaptability in a fast-paced environment Desirable Criteria Experience working within the Food Manufacturing industry.
