Role Summary
The first point of contact for clients and visitors, managing front desk operations, communications, and providing administrative support to ensure smooth office operations.
Supporting the Office Manager.
Key Responsibilities
Greeting Visitors: Receptionists are responsible for welcoming clients, visitors, and employees in a friendly and professional manner, creating a positive first impression of the organization and directing them to the appropriate office or person.
Managing Phone Calls: They handle incoming calls, screen and direct them to the appropriate departments or individuals, and take messages when necessary.
Scheduling Appointments: Receptionists manage calendars, coordinate meeting room bookings, and assist in scheduling appointments for staff.
Administrative Support: Will include various administrative tasks in line with business needs.
Maintaining the Reception Area: Keeping the front desk area organized, clean, and presentable is essential, as it reflects the professionalism of the organization.
Required Skills and Qualifications
Communication Skills: Strong verbal and written communication skills are essential for interacting with clients and staff effectively.
Customer Service Orientation: A friendly and approachable demeanor is crucial for providing excellent customer service.
Organizational Skills: The ability to multitask and prioritize responsibilities is important for managing various tasks efficiently.
Technical Proficiency: Familiarity with office software (e.g., Microsoft Office Suite) and office equipment.
Experience: Previous experience in a receptionist or administrative role is typically preferred.
