Customer Service & Export Administrator Birkenhead Office Based £28,000 - £30,000 Mon - Fri 8-4 / 9-5 Purpose of the Customer Service & Export Administrator Job: The Customer Service & Export Administrator is responsible for processing orders and coordinating the shipment of goods for domestic and international markets. Preparing export documentation, arranging transport and logistics, the role is detail-oriented and pivotal to ensuring smooth operations across the supply chain Maintaining compliance with customs regulations and global trade regulations whilst delivering excellent service to both customers and internal teams. Key Accountabilities/Responsibilities: • Raise accurate and timely quotations, order acknowledgements and works orders using our ERP system EFACS • Coordinate with Production and Planning teams to confirm goods availability and readiness for despatch. • Prepare commercial invoices, packing lists, customs documents and movement certificates for UK and international customers. • Prepare and process all export documentation including dangerous goods notes (DGN) for road and sea, ensuring hazardous goods requirements are met. • Obtain & review freight quotes to ensure cost-effective and timely transportation of goods. • Liaise with couriers and freight forwarders to arrange transport of commercial shipments/despatches and ensure smooth and timely deliveries. • Ensure compliance with customs requirements and UK international trade regulations. • Track and update shipment statuses, providing regular updates to relevant stakeholders. • Resolve any logistical issues or delays. • Communicate directly with customers to confirm orders, shipment details and resolve any issues, logistical queries or delays. • Maintain accurate records for audits and regulatory purposes. • Adapt to changing priorities and contribute to process improvements. • Drive continuous improvement activities and support departmental KPIs and problem-solving initiatives. • Support the Management team with general administrative tasks and documentation. Minimum Requirements - Education and Experience • Maths and English GCSE level educational qualifications or equivalent (minimum standard pass grades) • Excellent administrative and organisational skills with a keen eye for detail. • Experience in import/export administration, logistics or international trade. • Knowledge of customs procedures, Incoterms and international shipping documentation. • Strong customer service skills and ability to communicate effectively. • Excellent investigative and problem-solving skills • Team player with the ability to work independently • Motivated, proactive, and brings positive energy to the workplace. • Ability to prioritise and to multi task, working to deadlines. • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ERP/logistics systems. • Cultural awareness and ability to work with customers across multiple countries
