Job Description
We are looking for an organised and competent HR Assistant who would like the opportunity to develop their career in HR. Reporting to the HR and People Manager, this role will ensure that our HR records are up to date and accurate as well as providing the first point of contact for HR support to staff and managers. Job Title: HR Assistant
Salary: £26,000 FTE (£15,600 for 0.6 FTE)
Working Hours: 22.5 hours per week (0.6 FTE)
Location: All LA sites/ Home

Purpose and key objectives
To provide a comprehensive HR assistance and administration support to Lakeland Arts. This is a generalist HR support role and includes providing administration support to all the HR processes within the organisation. It is a key role in providing a professional and supporting HR function, ensuring that HR records are up to date, that HR processes from recruitment, through onboarding and performance management to leaver processes all run smoothly and efficiently. The post-holder will be a first point of contact on HR matters, signposting people to the correct policy and process. The role will oversee the payroll each month, ensuring that the correct information is passed on to our external payroll providers. They will also ensure that the HR database is kept up to date and that reports can be available to support the good management of staff across the organisation.
Key Responsibilities
*. Assisting Managers with the process of recruitment, including administration of recruitment process, recruitment correspondence, following up pre-employment checks, assisting with interview administration and issuing employment contracts
* Supporting internal and external enquiries and requests related to the HR department. Monitoring the HR and Jobs email inboxes, responding to, and/or escalating queries as appropriate.
* Compiling and maintaining digital and electronic employee records, including holiday and sickness leave. Ensuring the HR database is kept up to date.
* Processing payroll information by collating and checking the information from each department to send to our accountants for the monthly pay-run. Assisting with the documentation of employee compensation and benefits.
* Providing administration support for HR-related training programs, workshops and seminars
* Gathering HR Data as required, supporting the administration of staff and volunteer surveys throughout the year and processing the data to allow reporting
* Coordinating logistics for new hire orientation and induction
* Writing and submitting reports on general HR activities as required by the HR and People Manager
* Supporting HR events and meetings and issuing management-employee communications
* Monitoring the programme for updating HR Policy and keeping the Staff Hub on the Lakeland Arts SharePoint site and Breathe HR up to date with new policies and procedures
* Overseeing the administration of HR Processes within the organisation including onboarding, probationary periods, appraisals and leaver processes. Supporting managers to use these processes effectively and reminding them of time-lines for these.
Person Specification
Essential
Knowledge:
Good knowledge of HR administration systems and what HR information needs to be stored
Good working knowledge of Microsoft Office suite including
* Excel
* Word
* Outlook
* PowerPoint
* SharePoint
* OneDrive
Experience:
Experience of working in a busy HR department and managing all aspects of HR administration
Experience of providing basic HR advice to staff and signposting to relevant information.
Skills and Attributes:
Good attention to detail
Ability to multi-task and keep multiple projects progressing at the same time
Excelent organizational skills
Good communication skills and the ability to build relationships with managers and staff across the organisation
Helpful and "can-do" attitude
Desirable
Knowledge:
Basic understanding of employment law and the duties of employers in relation to HR administration
Experience of using Breathe HR Database system or similar
Experience of using Rotacloud
Experience of Better Impact Volunteer database
Expereince:
Experience of administrating payroll
Experience of pay and conditions for variable hours workers
Recruitment administration experience
Skills and Attributes:
Keen to develop HR career and to work towards higher level role in HR
