Job Description:
Key Responsibilities and Accountabilities:
* Respond to customer enquiries promptly and courteously.
* Manage daily operations of systems and equipment at Great Glen House.
* Oversee building security and visitor management.
* Arrange meetings and hospitality as per instructions.
* Process purchase orders and GPC expenses related to workplace services.
* Support projects involving the Workplaces Team.
* Prioritize and organize workload to meet deadlines.
* Use initiative to resolve issues, consulting managers when needed.
* Volunteer for Fire Warden, Fire Panel, or Incident Control Officer roles; optional first aider role.
* Respond to facilities management issues outside normal hours via work phone.
* Assist with property management, office services, and travel team tasks; attend meetings as required.
Role Requirements:
* Experience in customer service, office, or front-of-house roles demonstrating flexibility and adaptability.
* Decision-making skills, teamwork, customer service, and problem-solving abilities.
* Excellent communication skills; literacy and numeracy proficiency.
* Basic financial processing skills, including managing GPC expenses.
* Knowledge of Microsoft 365 and relevant systems and procedures.
* Effective planning, organizing, multitasking, and reactive work skills.
* Understanding of health and safety policies.
* Experience with vehicle maintenance; training provided for fleet management.
Pre-requisites:
* Disclosure Scotland application.
* Availability to work Monday to Friday 8:30am-4:30pm, with rota coverage by at least two B grades.
* Occasional response outside contracted hours; potential use of work phone for emergencies.
* Gaelic language skills are desirable but not essential.
* Driving license preferred for fleet support.
