Payroll Pension Administrator
We are looking for a Payroll Pension Administrator to join our team and deliver accurate and compliant pension administration across the organisation. You will oversee all pension-related activity, including enrolments, contribution changes, reporting, reconciliations, and employee queries, making sure everything meets statutory obligations and provider standards.
Key Responsibilities will include:
1. Process pension changes received from pension providers and internal payroll colleagues (including contribution amendments, opt-ins/opt-outs, refunds, and corrections).
2. Maintain accurate employee pension records across all systems, ensuring alignment with provider data.
3. Administer joiners and leavers in line with scheme rules and payroll deadlines.
4. Process manual updates or corrections following guidance from Senior Pension Specialists and pension providers.
5. Support the upcoming migration of manual pension changes into the team.
6. Support monthly, quarterly, and annual reconciliation between payroll outputs and pension provider submissions.
7. Assist with validation of the pension contribution file prior to provider upload.
8. Support the auto‑enrolment (AE) process, including monitoring eligibility, re‑enrolment, and statutory communications.
9. Work in accordance with The Pensions Regulator (TPR) requirements.
10. Assist with maintaining internal compliance logs and audit trails.
11. Support system testing when new pension reports, workflows, or automations are introduced or amended.
12. Help identify inefficiencies, inaccuracies, or gaps in existing pension processes and propose improvements.
13. Assist in documenting pension processes and guides for internal use.
14. Contribute to ongoing reviews of scheme rules, payroll configuration, and provider requirements.
We want to hear from you if you have:
15. Pension/Payroll experience - at least 2 years’ experience in a multi-site/large organisation
16. Strong Microsoft Excel skills (VLOOKUP/XLOOKUP, pivot tables, formulas)
17. Confident use of payroll databases
18. Data validation and reporting
19. High attention to detail and numerical accuracy
20. Ability to interpret complex pension calculations
21. Root‑cause analysis of payroll issues
22. Managing multiple payroll deadlines simultaneously
