Hours: 36.25 per week, Monday to Friday

OVERVIEW OF THE ROLE
As a member of the Commercial Asset Management Team, the successful candidate will play a key role in optimising income, and protecting and improving the long term value of the Estate, while having regard to the individual strategies of the various funds.
Focus for the role will be on the Estate’s central London retail and restaurant assets within the Portman Marylebone portfolio, reporting directly to the Associate Director for Retail Asset Management. The individual will be expected to support with the day-to-day asset management of the independent retail portfolio in alignment with the Estate’s Retail Strategy. This will involve tenant engagement, new lettings, lease renewals, rent reviews, refurbishment appraisals, property management and dilapidations.
The candidate will also be expected to provide support to the wider Commercial Asset Management team by contributing to portfolio performance analytics and reporting on Key Performance Indicators.
It is expected that a Graduate Asset Manager will take an active role in obtaining their RICS membership and professional qualification within 2.5 years of starting at the Estate. They will be supported by their Supervisor and Counsellor at the Estate.
The successful candidate will be able to demonstrate a high level of organisation skills, be a confident communicator, a proactive team member and have strong numeracy skills.

ROLE RESPONSIBILITIES
The Role Responsibilities detailed below are not exclusive or exhaustive and the post holder will be required to undertake such tasks as may be reasonably expected within the scope and role:
Subject to Company and Trust strategy and policy, undertake the following;
* Liaising with retained advisors when overseeing new lettings, rent reviews and lease renewals.
* Reviewing offers for new leases, and considering how the proposed uses align with individual property strategies and the Estate’s Retail Strategy.
* Considering applications to assign, alter or sublet.
* Working with the Estate’s retained property managers on the general management of commercial properties.
* Responding professionally to customer queries in a timely manner.
* Building professional relationships with key stakeholders and customers.
* Assisting with the portfolio’s annual valuation.
* Supporting our Strategic Projects Team when liaising with customers to achieve public realm improvements.
* Supporting and collaborating with our Marketing Team to promote tenant engagement with the Portman Marylebone consumer brand.
* Supporting on portfolio analytics for inclusion in Fund and Trustee Meetings, and tracking the Commercial Asset Management team’s Key Performance Indicators.
* Maintaining a database of comparable transactions for retail, office and hotel for the benefit of the Commercial Asset Management team.
* Co-ordinating property keys for team members, external agents, consultants and contractors as requested. Provide a professional, proactive, and personable point of contact for external parties, particularly our Customers.
* Managing the vacate process from once the tenant has their notice approved via an Asset Manager with carrying out inspections for pre and post vacant properties.
* Instruct minor works via the Service desk department.
* To provide support to your team, colleagues, and manager in respect of any ongoing review of processes and flag up any arears where you think efficiencies and or improvement in our service can be made.
PERSON SPECIFICATION
The below specification details the set of criteria that outlines the essential traits a candidate should have to be considered for the role.
* RICS accredited Real Estate degree
* Demonstrable interest in retail, brand knowledge across retail and F&B
* Basic understanding of the commercial property market
* Competent MS Word, Outlook and MS Excel skills, including an ability to analyse large datasets
* Administration experience within an office environment or similar
* Experience of clear written and verbal communication across a range of stakeholders
* Ability to work with high degree of accuracy and attention to detail
* Good time management skills and ability to meet deadlines and multitask
* Ability to handle sensitive data
