The Role: We are looking for a receptionist/secretary to work in an office-based role. The position is a dual role taking on receptionist and secretarial duties. The successful person will sit within our wider office services/secretarial team and provide support to the entire firm. We operate a pool system within our secretarial team and so the successful candidate would be working and liaising with various people within the business. Duties & Responsibilities: The role will be split between receptionist and secretarial duties. Reception: Opening and closing of reception Greeting and assisting visitors in a professional and friendly manner, ensuring they sign in and any contractors visiting the office explain their reason for attending Handling incoming calls, taking messages, and forwarding calls to the appropriate department or individual Answering general inquiries and providing assistance to visitors and callers Booking meeting rooms Booking taxis Booking local and international couriers Receiving, sorting, and distributing all mail and packages to the correct person or department Training new staff members on reception Maintaining a clean and organised front office area Liaising with the facilities team/management and reporting any issues around the building Providing general support to other departments as needed Secretarial: Undertaking online billing Undertaking client take on (CTO) requests and any onboarding work required Completing letters of engagement Undertaking Land Registry searches Requesting invoices and statements General administrative work, including tying, letters, file notes and emails Other ad hoc duties in line with the role The Candidate: We require somebody with previous reception and secretarial experience for this role. The role is office based, Monday to Friday, with the hours being 9am - 5.30pm each day.
