The Role/Profile
Reporting to the Finance Transformation Lead, the Project Finance Manager, Supply Chain and AP Process Expert (Finance Transformation) is part of the core team supporting Ocado Retail's (ORL) Finance change programme and Finance transformation initiatives over the next 12-18 months.
Ocado Retail, a joint venture owned 50/50 by Ocado Group (OG) and Marks and Spencer (M&S), is expected to deconsolidate from OG and consolidate into M&S as of April 2025. The primary purpose of the Finance change and transformation programme is to prepare for the consolidation switch from OG to M&S, ensuring that all financial accounting, reporting and regulatory requirements are fulfilled along with ensuring the wider business is informed and prepared for any resulting operational impacts.
Critical objectives of the main Finance change and transformation programme include:
* Alignment of ORL financial calendar to M&S financial year.
* Faster month end close to facilitate efficient consolidation.
* Review of M&S accounting policies, chart of accounts, controls, governance, compliance, ESG and other reporting requirements with a gap analysis performed and delivery plan to close any gaps formed and executed.
* Systems and tools set up to operate efficiently under the new financial year and taking into account any further controls and compliance requirements.
* Oracle Fusion (ERP) and Oracle EPM were implemented in Summer 2023 and solutions for the change in financial year across both systems will need to be determined and delivered.
* Inputs, processes and outputs clearly defined and communicated for ongoing Budget, Forecast, five year plan and management reporting requirements.
* Business impact assessment performed that takes into account all departmental implications
In addition to the main Finance change and transformation programme there are further Finance transformation initiatives in scope, which span across cash flow forecasting, management reporting improvements, Oracle Fusion functionality and enhancements and improving the PO > GR > Invoice processes (GRNI) across Ocado Retail.
The Project Finance Manager, Supply Chain and AP Process Expert (Finance Transformation) will be focused on two critical initiatives:
1. GRNI: Improving the Purchase Order (PO) > Goods Receipt (GR) > Invoice processes across Ocado Retail; and
2. Stock / inventory month end close acceleration - leveraging findings from GRNI deep dive to both recommend and implement automation and process simplification initiatives
Key Responsibilities
* GRNI: End to end mapping of GRNI process, involving visiting all CFC's (customer fulfilment centres) and a selection of Spokes (geographically diverse hubs) in order to understand the supply chain processes and procedures, systems, hand offs and data flows.
o This encompasses the end to end Purchase Order (PO), Good Receipting (GR) and Invoicing processes across Ocado Retail, many of which are executed and managed by Ocado Group Logistics / Supply Chain.
* Systems and Data: gain a detailed understanding of the end to end systems and technology used in the GRNI / Supply Chain / Inventory / Stock processes and data flows, including documenting the systems and data landscape where applicable.
* GRNI: develop a change plan to improve the end to end GRNI process to support Finance with month end close.
o This is also expected to include operational recommendations for change (i.e. process reengineering) for Ocado Group Logistics to implement, alongside actionable initiatives to be executed by Ocado Retail Finance and operational teams.
* GRNI: deliver the change plan to improve the end to end GRNI process to support Finance with month end close.
* Stock / Inventory Accounting Faster Month End Close: take ownership for delivering the stock/inventory elements of faster month end close within Finance with the aim of reducing a 3 day process to 1 day over the next 12 months.
* Build strong working relationships with key stakeholders at Ocado Group Logistics / Supply Chain.
* Work closely and collaboratively with the Senior Finance Manager, Operations and Stock to ensure there is full alignment and transparency between the Finance Transformation team and the Operations and Stock team.
* Identify opportunities and make recommendations to make Systems and Data improvements and efficiencies both within Finance and outside of Finance.
* Lead the delivery of opportunities and recommendations that are approved by ORL management.
Key Skills
* Demonstrable and extensive experience of end to end process mapping of complex processes spanning multiple systems and hand-offs.
* Deep supply chain and P2P / AP expertise (spanning purchase order, goods receipting and invoicing processes).
* Extensive experience working with warehouse management systems, accounts payable systems and Finance ERP systems.
* Highly proficient in Microsoft Excel.
* Qualified Accountant (ACA, CIMA, ACCA).
* Highly competent at working with high volumes of complex data sets.
* Ability to simplify complexity both in terms of communication style but also in terms of converting complex problem statements into simple, focused and clear solutions.
* Proven record of communicating and influencing across a range of audiences internally and externally.
* Takes a hands-on approach to problem solving. It's critical that the successful candidate is comfortable, willing and able to get under the hood of the systems and deliver results independently.
* Experience of working within a large, fast paced, complex, customer focussed environment.
* Committed team player who is able to manage vertically and horizontally.
* Excellent verbal and written communication, presentation and influencing skills.
* Understanding of online retail business and processes and what is possible with ERP and warehouse management / supply chain data solutions (desirable).
* Experience working with Oracle Cloud ERP Financials is highly desirable.
