Executive Assistant to HR Director & HR Support
An exceptional opportunity has arisen for an accomplished Personal Assistant to join a leading international firm, supporting our client’s International Group HR Director in this pivotal role. This is a 12‑month fixed‑term contract, hybrid, offering 60% high‑level PA duties and 25% HR administrative support.
Key Responsibilities
* Diary management across multiple time zones, anticipating conflicts and proactively managing the Group HR Director's schedule.
* Complex international travel arrangements: flights, accommodation, visas and detailed itineraries.
* First‑class visitor management and hospitality for C‑suite meetings.
* Professional liaison with Board members, NEDs, and external stakeholders.
* End‑to‑end management of quarterly Senior HR Forums – venue selection, contract negotiation, delegate management and on‑day coordination.
* Organisation of Colleague Forum meetings, including agenda development and minute‑taking.
* Coordination of Board‑level meetings with full IT/AV support.
* Management of Non‑Executive Director engagement activities.
* Creation of polished board reports and executive presentations, synthesising complex information from multiple sources.
* Comprehensive expense management and credit‑card reconciliation with sustainability reporting.
* Providing cover support to the CEO & CFO's PAs during absences.
* System administration for employee lifecycle processes.
* HR projects and supporting employee relations administration.
* Recruitment campaign support and employee benefits administration.
* HR inbox management and first‑line query resolution.
Required Qualifications
* Solid previous experience in a PA role at board level.
* Exceptional Microsoft Office skills – Excel for reporting, PowerPoint for executive presentations.
* Outstanding written communication – ability to draft correspondence on behalf of executives.
* Experience coordinating large‑scale meetings and events.
* Experience with international travel arrangements.
* Exposure to HR is desirable.
