European Fleet Coordinator
Location: Chertsey, Surrey (KT16 9DT) – Hybrid
Hours: Monday–Friday, 9:00am–5:00pm
Reporting to: Head of Business Administration

About the Role
We are looking for a highly organised and proactive European Fleet Coordinator to oversee, maintain, and optimise our vehicle fleet across multiple European countries.
This is a key role responsible for managing day-to-day fleet operations, ensuring compliance with international regulations, and controlling costs. You will act as the main point of contact for all fleet-related queries, while building strong relationships with leasing providers and external partners.
Key Responsibilities
Fleet Management & Administration
* Manage vehicle allocation, delivery, and returns. Maintain accurate records including registrations, insurance, servicing, and damage reports.
European Compliance & Regulation
* Ensure fleet operations comply with all local and international transport laws, tax requirements, and insurance regulations.
Electrification & Sustainability
* Support the transition to electric vehicles (EVs), including charging infrastructure, vehicle selection, and promoting sustainable practices.
Vendor & Lease Management
* Liaise with leasing companies, dealerships, and maintenance providers. Negotiate contracts and monitor supplier performance.
Budgeting & Reporting
* Track fleet-related costs (leasing, fuel, maintenance), approve invoices, investigate discrepancies, and produce regular performance reports. Support annual emissions reporting.
Driver & Vehicle Safety
* Coordinate servicing and repairs to ensure safety and minimise downtime.
Database Management
* Maintain up-to-date records for vehicles and drivers, ensuring licences are valid and compliant.
Incident Management
* Support employees with breakdowns, accidents, and penalty charge notices (PCNs).
Policy Management
* Maintain and update company car policies across Europe, ensuring compliance with changing regulations.
Onboarding Support
* Source vehicles for new starters (including new countries where required) and assist with onboarding and training.

Skills & Experience
* Proven experience in fleet or transport operations, with exposure to European logistics and regulations
* Strong knowledge of UK/EU vehicle compliance requirements
* Experience in an administrative or office support role
* Advanced Microsoft Office skills (Excel essential)
* Excellent organisational skills and attention to detail
* Strong communication skills with the ability to engage stakeholders at all levels
* Effective problem-solving skills and ability to work under pressure and to deadlines
* Full, clean driving licence
* Fluency in English (additional European languages are a plus)
* Degree-level education (preferred)
