We're looking for a Data & Systems Support Coordinator to take ownership of data management, system updates, and mobilisation coordination across our maintenance division. You'll play a critical role in maintaining high standards, supporting operational delivery, and ensuring contracts are accurately represented in our systems.
What You'll Do
In this role, you'll take full ownership of data and system processes to support operations, compliance, and mobilisation across the maintenance division.
Ensure the accuracy and integrity of work order and service data across client portals and internal maintenance systems
Conduct detailed data reconciliations, identify discrepancies, and update records to maintain compliance and audit standards
Produce reconciliation reports for internal stakeholders and support operational teams with accurate work order information
Manage updates, configuration adjustments, and data corrections via JIRA or similar ticketing systems
Undertake Tree Preservation Order (TPO) checks for Extra Works requests, liaising with local authorities and ensuring operational teams have clear instructions
Support the mobilisation of new maintenance contracts, coordinating internal functions (Finance, Operations, HSQE, HR, IT) to ensure smooth onboarding
Prepare mobilisation plans, trackers, timelines, and documentation packs to support handovers to Account Managers
Liaise with clients to confirm portal requirements, obtain missing data, and resolve onboarding issues efficiently
Provide proactive administrative and data support to prevent bottlenecks and maintain operational excellence

What We're Looking For
High proficiency in Microsoft Excel, Outlook, and Teams, with strong attention to detail and commitment to accuracy
Experience working with client portals or service request management tools
Ability to analyse, reconcile, and validate complex datasets across multiple systems
Strong organisational and time-management skills, able to prioritise effectively in a fast-paced environment
Clear verbal and written communication skills, with a professional and proactive approach
Comfortable following defined processes while identifying opportunities for improvement
Experience with JIRA or similar ticketing systems (desirable)
Previous experience supporting contract mobilisation or operational onboarding (desirable)
Knowledge of Grounds Maintenance, Arboriculture, or related industries (desirable)
Understanding of compliance processes, including TPO checks (desirable)
