Job Overview
The Sales Ledger Lead at Elegant Clutter is responsible for ensuring accurate company accounts, invoicing, credit control, debt management, and compliance with VAT and EORI regulations. The role supports high‑end hotels and restaurants both in the UK and overseas.
Responsibilities
* Invoicing: Create sales invoices with taxes and VAT (ensure VAT & EORI number in place for EU & other countries).
* Credit Control: Work with clients’ accounts teams to manage debts and monitor overdue payments.
* Debt Management: Follow up with customers who have outstanding debts to ensure payment.
* Cash Allocation: Process daily cash received from Lloyds Discounting, Lloyds Bank (Current A/c) to Sage Accounts and Database.
* Update Sage: Update client correspondence in Sage with details of debt chased, etc.
* Reconciliation: Ensure the sales ledger is reconciled and all payments are accounted for; download monthly statements and supplementary reports and reconcile within Sage Accounts; post any bank charges or adjustments.
* Client Statements: Produce client statements and send out at end of month or when necessary.
* Client Onboarding: Set up new clients and input their contact data from PO or contract.
* Credit Notes: Raise credit notes for refunds and foreign exchange adjustments to client accounts, using the Credit Note sign off form.
* Communication: Work with PMs & Sales team to ensure projects are invoiced and maintain relationships with clients’ account teams to solve problems.
* Reporting: Daily invoicing tracker; weekly aged debtors / overdue debt; monthly reports (PM against turnover, client turnover, category analysis, month‑end sales reconciliation).
* Client Database: Update with relevant details.
* Stock take: Quarterly and annual stock take.
* Approving PO on Database System: Check PO against project budget and approve on internal database system.
