Wood Digital Consulting (DC) is currently recruiting for a Document Controller to support the System Integration business.
This is a hybrid role that can be based anywhere in the UK, mobility and travel to customer sites and face to face meetings with colleagues will be expected as required, followed by site-based work for the main construction execution phase.
Must be able to pass HMG Baseline Personnel Security Standard (BPSS) check.
The Document Controller will be responsible for collection, distribution, retention and archiving of documents through document management systems and work processes. Ensuring all technical documentation associated with the assigned project scope is registered, filed, transmitted, and archived in compliance with document management procedures.
1. Register and transmit internal, vendor and client documentation for the project
2. Check documentation to ensure that formats comply with company and client standards
3. Archiving Project and Corporate Records, either hardcopy or electronically; and the identification, indexing, transfer, storage, protection, retrieval, retention and disposition of the records
4. Ensure all project documentation is imported into document management system and filed accordingly
5. Ensure all documentation is transmitted to the client as per client requirements and in an expedient manner
6. Archiving and retrieval of historical documentation
7. Assist and provide assistance to Wood personnel with respect to any document management system queries
8. Quality check of all Documentation prior to issuing/transmitting to client
9. Responsible for the handling of requests for new Document numbers / hard copy documentation
10. Scanning, printing and copying of project documentation
11. Process and record accurately all technical documentation in accordance with agreed procedures
12. Ensure that hard copy and electronic record files as required are maintained in good order to comply with QA requirements
13. Run document control reports (if available and required) from the applied company or project document control system
14. Ensure document management procedures satisfy project, client and regulatory requirements
15. Independently handle all aspects of Project documentation utilizing various document control practices and Electronic Document Management Systems (EDMS)
16. Monitor progress of in-house and Client reviews of technical data
17. Contribute to compilation of final project dossiers, as built portfolios and archiving
18. Establish a systematic and comprehensive Project Filing System
19. Produce exception reports, comment overdue reports and any other reports for Project Management review
20. Maintenance of the project’s document storage structure
21. Minimum ISCED Level 3 (Secondary education)
22. Knowledge of MS Office
23. Knowledge of SharePoint / Documentum / ProjectWise or similar electronic document management system
24. Knowledge of Adobe
25. Communication skills - both written and verbal
26. Skills in word processing, spreadsheets, database applications and electronic data management systems
27. Excellent organisational skills and a logical and ordered approach
