About the Role
We are looking for a highly organised and detail-focused Transport Administrator to join our busy Transport team on the night shift. Reporting directly into the Transport Manager, you will play a key role in ensuring the smooth running of our transport operations, maintaining compliance, and delivering excellent service to both customers and internal teams.
This is a hands-on, fast-paced role that requires excellent communication skills, strong attention to detail, and the ability to manage multiple tasks under pressure.
Key Responsibilities
* Respond promptly, politely, and professionally to calls and emails.
* Handle internal and external customer queries efficiently.
* Keep accurate communication records for audit purposes.
* Support the Transport Management team in daily operations.
* Relay operational updates to drivers, depot staff, and stakeholders.
* Work with Warehouse, Planning, and Customer Service teams to meet delivery targets.
* Collect and manage delivery notes, PODs, defect reports, and driver records.
* Ensure compliance with legal and audit requirements for document storage.
* Maintain accurate transport records in line with company and statutory regulations.
Compliance Monitoring
* Support Operator Licence compliance.
* Monitor driver hours, rest periods, and Working Time Directive compliance.
* Track driver licence checks, training, and medicals.
* Maintain vehicle servicing, MOT, and defect reporting records.
* Assist in audit preparation and compliance reporting.
* Produce KPIs and reports on delivery performance, fuel usage, and infringements.
* Identify trends and highlight risks to management.
* Complete filing, scanning, and data entry for the department.
* Process customer orders with accuracy and speed.
* Communicate customer instructions clearly to drivers and depot staff.
* Investigate and resolve customer and supplier queries.
* Escalate recurring issues with recommendations for improvement.
* Maintain agreed service levels and document all work for billing accuracy.
* Ensure processes comply with Health & Safety, DVSA, and company standards.
* Keep systems and records audit-ready at all times.
What We’re Looking For
* Previous experience in a Transport Admin or Logistics Admin role preferred.
* Strong communication and organisational skills.
* Knowledge of compliance requirements (WTD, DVSA, Operator Licence) desirable.
* Confident using IT systems and producing accurate reports.
* Flexible, reliable, and able to thrive in a night shift environment.
