The Organisation: CMT Design and Construction Ltd is an expanding design and build construction company based in Central London that offers its employees a congenial working environment, growth opportunities and a platform for personal and professional development. CMT has evolved over a number of decades and is a proud third generation company in the construction sector which has grown dynamically with a pioneering strategic vision incorporated alongside traditional values. CMT has an existing design, construction and project management team that have the knowledge, skills and experience to provide Clients with a complete one-stop solution for all their construction and development needs. We are currently working with clients and developers with current projects mainly in the residential. Commercial and hotel sectors. We also deliver new developments for our KNT Group of companies. Main Duties: Managing phone calls- answering and directing calls. Welcoming and supporting visitors and clients. Working closely with director assisting him in admin and other ad hoc duties Taking care of general administrative works like insurance, paperworks etc Booking appointments, video calls and meeting rooms and arranging lunch and refreshments if required Keeping basic office supplies stocked and ordering supplies for the office Manage contract and price negotiations with office vendors, service providers and office lease Management and control of costs for office consumables and office services Manage office general and administrative expense budget, ensure accurate and timely reporting Management of office safety systems.Scheduling fire alarm and emergency lighting tests Troubleshoot common problems with the telephone system and other office equipment with the IT manager Coordinate with IT department on all office equipment Organize the office layout. Maintain the office condition and arrange necessary repairs Ensure general office tidiness and cleanliness to ensure it is welcoming at all times Serve as the point person for office manager duties including maintenance, mailing, supplies, equipment, bills, errands, shopping etc. Organize office operations and procedures Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements) Liaise with facility management vendors, including cleaning, catering and security services Plan in-house or off-site activities, like parties, celebrations and conferences Requirements: Excellent communication skills and telephone manner Someone who is fluent in verbal and written English Highly organised with excellent multi-tasking skills Confident, enthusiastic and hardworking Able to work independently Someone who is professional and has an organised approach to work Someone who has the drive, enthusiasm and passion for helping prospects/ new clients. Previous experience working within a Reception / PA position is essential Ability to prioritise and organise. Reports to : Director
