We're looking for an Administrator who will deliver excellent service standards, while meeting SLA agreements and adhering to administrative schedules.

Role Responsibilities:

We are looking for a Building Assistant to support DVSA operations across the following locations as Yeading, Slough, The new Hillingdon. The individual shall be predominantly based at Yeading.
The role may also require occasional visits to Tunbridge Wells. You will be able to :

1. Provide administrative support across a variety of tasks and systems.
2. Act as a central contact for the team, managing calls and communications.
3. Raise purchase orders and manage tasks within the CAFM system.
4. Support monthly reporting and maintain shared drive documentation.
5. Coordinate waste service bookings, fleet car servicing, and PPE/uniform/stationery orders.

7. Strong IT skills, especially with Microsoft Office.

Job Description: Building Assistant (Office Environment)

Department: Facilities / Estates

Reports To: Facilities Manager / Contract & Compliance Manager

Location: Office Environment

Role Purpose

The Building Assistant supports the smooth and safe operation of the office environment by assisting with facilities coordination, room setups, security checks, contractor access, and compliance logging. The role focuses on operational support, safety, logistics, and customer service without performing cleaning or repair work.

Key Responsibilities

14. Facilities & Building Support
15. Conduct routine visual checks of office areas and report building issues to the Facilities Manager or contractors.
16. Monitor meeting rooms, communal spaces, and kitchen areas to ensure they remain presentable and functional.
17. Support office moves, furniture rearrangement, and workspace reconfiguration (without carrying out repairs).
18. Health & Safety Compliance
19. Carry out weekly fire alarm testing and assist with periodic emergency lighting checks.
20. Ensure escape routes remain clear and compliant.
21. Place safety signage (e.g., “Wet Floor”, “Restricted Area”) where required.
22. Report any observed hazards or unsafe conditions.
23. Security & Access Management
24. Assist with unlocking and locking the office.
25. Conduct basic security checks of windows, doors, and access points.
26. Support reception with visitor access control.
27. Escort contractors or engineers around restricted or secure areas.
28. Logistics & Office Operations
29. Set up meeting rooms, including furniture arrangement and equipment placement.
30. Assist with parcel handling, Mail delivery coordination, and stock movement.
31. Monitor stationery, consumables, and washroom/kitchen stock levels and report when replenishment is needed.
32. Contractor Liaison & Compliance
33. Escort contractors carrying out maintenance or statutory inspections.
34. Update logbooks, meter readings, and compliance documentation.
35. Help prepare spaces for planned preventive maintenance activities.
36. Staff Support & Customer Service
37. Respond to general office requests and support internal events or meetings.
38. Provide assistance to staff, visitors, and contractors in a professional and courteous manner.
39. Carry out Site Inductions.
40. Allocate Car Parking spaces
41. Provide Incident Control.

Skills & Attributes

42. Strong organisational and communication skills
43. Awareness of health & safety principles
44. Ability to work proactively and independently

46. Physically capable of moving and setting up furniture/equipment

Qualifications (Optional / Desirable)

47. Basic Health & Safety awareness (e.g., Fire Warden or First Aid desirable)
48. Experience in facilities, building operations, or office support roles

Task Schedule

Below is a practical daily, weekly, and monthly schedule tailored to an office.

Morning

49. Unlock building / assist with opening procedures
50. Conduct visual walk‑through of all office areas
51. Check meeting rooms for readiness
52. Confirm all escape routes are clear
53. Support reception with early visitor or contractor arrivals
54. Check stock levels (stationery, kitchen items, printer supplies)

During the Day

55. Setup/clear meeting rooms between bookings
56. Assist with office moves or room layouts
57. Receive and distribute deliveries
58. Escort contractors carrying out scheduled works
59. Respond to staff support requests
60. Perform light security checks around office areas

End of Day

61. Check meeting rooms are reset
62. Ensure windows and doors are secure
63. Assist with locking procedures

Weekly Tasks

64. Fire alarm testing and log completion
65. Visual inspection of emergency lighting
66. Check first aid boxes (if required)
67. Document and submit facilities issues for action
68. Review consumables inventory and notify manager of replenishment needs
69. Conduct a more detailed building walk‑through (plant rooms, service areas)
70. Update compliance and contractor attendance logs
71. Support planned maintenance visits (water hygiene, HVAC checks, etc.)

Monthly Tasks

72. Complete meter readings (gas, electric, water)
73. Assist with monthly H&S inspections (office walk‑round with FM or H&S rep)
74. Test panic alarms, door access points (if required by the site)
75. Review and record fire evacuation escape route condition
76. Support monthly office layout checks and future planning (desk usage, storage)
77. Prepare areas for monthly maintenance programmes
78. Assist with audits, compliance reviews, or facilities reporting
