Main Responsibilities:
Assisting all aspects of the roles of two Associate Directors and their areas of responsibility. Building strong business relationships, providing secretarial, organisational and diary management support, always maintaining confidentiality and high professional standards.
This role has a dual reporting line and needs to be flexible to respond to different: business priorities, internal/external customers, and working styles.
Specific Responsibilities:
* Assisting the HoFW with their work in sales (and some buying) and liaising with their private and trade customers
* Assisting HoM with their sales and Sales Team management and liaising with their customers. Proactively managing their inbox
* Extensive co-ordination of business diaries and time management
* Organisation of all aspects of travel (including overseas) itineraries. To include Monopole (top customer) trips.
* Correspondence/contact across all lines of communication with customers, suppliers, and colleagues
* Full involvement with customers by taking orders, making wine recommendations where necessary, arranging deliveries, and updating accounts
* Maintaining knowledge and management of systems to access and record and update customer and supplier information on databases
* Organisation of lunches/dinners for guests
* Occasionally assisting with the organisation of tastings, venues, guest lists, invitations, and supplies as well as visits to suppliers for special customers
* Working with sales and buying team colleagues to provide support, information, statistics etc. as required
* Providing general assistance to the wider C&B office as necessary
Essential Requirements:
* Proven secretarial skills and experience
* Strong organisational skills and attention to detail
* Excellent IT skills – Microsoft 365 Word/Excel/Outlook
* Experience of working with in-house databases
* An understanding of the importance of confidentiality and the commitment to maintain it
* Confident communication, social and presentation skills
* Ability to remain calm under pressure; acting with professionalism, diligence, patience and diplomacy
* Ability to be both proactive and reactive as required
Desirable Requirements:
* WSET Level 1 and above
* Language skills
