Overview

An exciting opportunity has arisen within the Psychiatry Department for a highly motivated Personal Assistant. This role will provide a comprehensive, efficient and confidential administrative secretarial service to the Associate Medical Director and Clinical Directors. Based in FVRH you will work in a dynamic and professional environment, within a supportive and welcoming team. You will work closely with the Psychiatry Team and act as the first point of contact for all enquiries to the department, often dealing with matters of a confidential and sensitive nature.

You will demonstrate excellent communication skills, both written and verbal. You will be able to deal effectively with a number of simultaneous tasks and have the ability, commitment and judgement to ensure deadlines and actions are delivered whilst being frequently interrupted. Advanced knowledge of Microsoft Office is essential, as is experience of complex diary management and attending meetings for the purpose of minute taking. Previous experience within a similar/healthcare setting would be advantageous. Ability and willingness to travel throughout the area of service delivery is essential for this post. The duties of this post require the successful candidate to complete a Level 2 Disclosure Scotland check.


Responsibilities

* Provide a comprehensive, efficient and confidential administrative secretarial service to the Associate Medical Director and Clinical Directors.
* Act as the first point of contact for all enquiries to the Psychiatry Department, handling confidential and sensitive matters.
* Demonstrate excellent written and verbal communication, manage multiple tasks, and ensure deadlines and actions are delivered despite interruptions.
* Utilise advanced Microsoft Office skills, manage complex diaries, and take minutes during meetings.
* Travel throughout the area of service delivery as required.
* Complete required compliance checks (e.g., Level 2 Disclosure Scotland) as part of the post.


Qualifications

* Advanced knowledge of Microsoft Office.
* Experience with complex diary management and minute taking.
* Previous experience in a similar/healthcare setting is advantageous.
* Ability and willingness to travel throughout the service area.
* Successful completion of a Level 2 Disclosure Scotland check.
