As a Governance Administrator, you will provide essential administrative support to the governance function. You will help coordinate processes, maintain accurate records, and support meetings and reporting that underpin quality and compliance.
No two days will be the same; this is a varied and rewarding role where your attention to detail and organisational skills will make a real impact.
Main duties of the job
* Provide comprehensive administrative support to the governance team
* Organise and minute meetings, ensuring accurate record keeping
* Maintain governance databases and documentation
* Support incident reporting processes and data tracking
* Assist with audits, reports, and compliance monitoring
Job responsibilities
* Develop, maintain and be responsible for timely and effective management of key governance systems.
* Organise meetings and undertake administrative tasks to ensure agendas, minutes and all relevant documentation is managed appropriately.
* Undertake specific project work when required.
* Work as an integral member of the governance team supporting all team members in administrative duties deputising for the governance coordinator where appropriate.
* Assist the governance team with a wide variety of administration tasks.
* Organise and administrate the relevant committee meetings, including diary invites, agendas, documentation and minutes.
* Assist with the inputting of data into regulatory databases.
* Assist with completion of monthly and quarterly data reporting using the risk management database.
* Coordinate and administrate central database for patient leaflets produced internally and externally.
* Cleanse data on Datix, including duplicate contacts and other incorrectly logged information.
* Undertake administrative tasks for completion of PLACE audit.
* Assist with administration of PolicyStat.
* Routinely collaborate with patients to gain patient experience feedback, including PROMS data or equivalent.
* Support the head of governance, compliance and risk and the clinical governance & risk leads with delegated administration duties.
* Understand tasks undertaken by other members of the governance team and cover key tasks when required.
Qualifications
* Educated to GCSE or equivalent experience.
* Demonstrated experience of good customer care and communication skills.
* Excellent IT skills including Word and Excel.
* Proven ability to prioritise workload and undertake multiple tasks under pressure.
* Methodical and well organised with a high level of attention to detail.
* Demonstrates team working ethos as well as being able to work under own initiative.
* Ability to work well in a team and to progress own workload effectively.
* Positive, can‑do approach and aptitude and willingness to support the achievement of goals.
* Desirable minute taking experience.
