Job Title: Bid Co-ordinator Department: Support Services Reports to: Director of Support Services Contract: Permanent Location: Head Office (Hybrid working available upon successful completion of probation) Salary: £28,000- £35,000 (dependent on role and experience) Role Overview As part of one of the UK’s leading apprenticeship training providers, you’ll play a key role in supporting our business development efforts by helping us secure impactful opportunities that promote our apprenticeship programmes and enable employers to grow through skills development and training. We’re looking for a motivated individual to join us as a Bid Coordinator - whether you're a graduate (ideally from a English, Business, Marketing or Data-related discipline) looking to kick-start your career, or someone with some existing experience in bid writing or the wider industry. In this role, you'll support the end-to-end bid process - from researching and tracking opportunities to preparing documentation, coordinating contributions, and ensuring timely submissions. You’ll work closely with colleagues across sales, delivery, marketing, and compliance, helping to produce high-quality, compelling bids that reflect our values and expertise - particularly in high-growth sectors such as Tech and Digital. Key Responsibilities & Role Expectations · Supporting Bid Identification and Qualification – monitor tender portals for relevant funding opportunities; assist in assessing viability and strategic fit · Bid Support and Co-ordination – assist in co-ordinating, compiling, drafting and editing tender responses; track timelines, work with internal teams to gather required information, assigning responsibilities and tracking activities to ensure that all deadlines are met; ensure all documents meet relevant stakeholder requirements; maintain and organise bid documents, ensuring all materials are up to date and accessible · Stakeholder Communication and Liaison – act as primary contact for internal and external stakeholders; liaise with stakeholders to ensure bid content reflects their requirements and expectations · Compliance and Quality Assurance – ensure all bids comply with funding rules, eligibility requirements and regulatory guidelines; conduct final checks on all bid documents to ensure they meet quality standards · Bid Tracking and Reporting – maintain a bid tracker and ensure accurate reporting on bid progress; assist in post-bid activities including tracking outcomes and managing feedback for continuous improvement · Research and Market Intelligence – conduct research to identify new opportunities · Document Management and Control – organise and maintain a library of bid documents, templates and case studies; ensure all bid-related documents are stored securely and comply with data protection regulations. Essential Knowledge, Skills & Experience · Communication Skills – strong written communication skills for drafting and editing proposals; clear verbal communication skills to engage and manage relationships with internal and external stakeholders · Organisation and Time Management Skills – strong organisational skills to manage multiple bids simultaneously; proficient in prioritisation to manage time effectively under pressure · Attention to Detail – high level of accuracy when compiling bid documentation · Project Management Support – ability to support project management activities and track progress effectively; familiarity with project management tools to track bids · Microsoft Office Proficiency – strong skills in Microsoft Office tools and familiarity with cloud-based collaboration tools Desirable Knowledge, Skills & Experience · Bid Writing and Coordination Experience – Proven experience in drafting and coordinating bid proposals, ideally within the Further Education (FE) sector. Strong understanding of the full bid lifecycle, from opportunity preparation through to submission, with the ability to support high-quality, compliant, and compelling proposals. · Understanding of apprenticeship standards, funding mechanisms, and quality assurance processes within the FE sector, with prior experience in apprenticeship providers or training organisations. · Familiarity with government education policy, FE funding rules, and experience working with procurement portals and submitting bids via online systems. · Experience supporting or coordinating bids, ensuring compliance with sector requirements and contributing to high-quality, successful submissions. · Data Monitoring and Reporting Experience - experience working with data to support bids; ability to track and report on bid progress, outcomes and post-bid reviews · Marketing and Presentation Skills – experience creating presentations or promotional materials to support FE sector bids · Project Management and/or Bid Management Training or Qualifications – a qualification or training in bid or project management.
