Position: Personal Assistant
Location: London or York

Reporting to: PA to the CEO, Hiscox UK
Role:
The role supports three key roles in a PA capacity:
* UK Chief Risk Officer
* Head of Claims, Hiscox UK
* Head of Quality Assurance & Customer Relations, Hiscox UK
Plus, provides daily ad-hoc support to their teams.
Key responsibilities:
* Providing PA support to the UK Chief Risk Officer, Head of Claims, and Head of Quality Assurance & Customer Relations.
* Arranging extensive travel and accommodation (UK and International).
* Handling confidential and sensitive information.
* Coordinating meetings such as the monthly UK Claims Management meeting, Claims Operations meetings, Quarterly Reserving, Trilogy Light, and Trilogy core meetings. This includes preparing agendas, taking minutes, and distributing them timely.
* Updating Terms of Reference and Effectiveness Reviews for these meetings.
* Maintaining the 'Reasonable steps Evidence' folder for the Head of Claims, in line with SMCR requirements.
* Supporting the UK Chief Risk Officer with preparations for the quarterly HIC Risk Committee, including booking stakeholder meetings and ensuring deadlines are met.
* Organising team social events and charity volunteering days across UK offices.
* Managing invoicing processes for the UK Claims team, including raising Purchase Orders and handling payment queries.
* Onboarding new UK Risk & Compliance team members, including induction, travel, IT setup, and equipment.
* Organising events and scheduling meetings with Group and UK PAs.
* Preparing and submitting personal expenses.
* Monitoring the travel budget for the UK Risk & Compliance team.
* Inbox and email management for the UK Head of Claims.
Person specification:
* Proven experience as a PA in a professional environment.
* Educated to A-Level or equivalent.
* Advanced knowledge of Microsoft Word, Excel, Outlook, and PowerPoint.
* Experience in minute-taking.
* Efficient, proactive, resilient, with a 'can-do' attitude, taking initiative.
* Ability to plan ahead, prioritize, and multitask.
* Decision-making skills with awareness of when to seek assistance.
* Excellent attention to detail, organization, and coordination skills.
* Ability to work well under pressure and deliver results.
* Customer-focused with strong relationship-building skills.
* Confident and friendly demeanor.
