PA to the Patient Engagement and QSG Teams
Bay Medical Group is recruiting for a Personal Assistant to provide secretarial and administrative support to the Patient Engagement Team (PET). This role assists with handling verbal and informal complaints from patients or their advocates and supports early and effective resolution. The post holder will also support the efficient running of Quality, Safety, and Governance meetings.
This is a permanent, part-time vacancy working 21 hours per week at our West End Site. The working pattern is Monday 9-2:45, Wednesday 9-2:45, Thursday 9-2:45, and Friday 9-2:45, with a 30-minute lunch each day. Some flexibility (with notice) may be required, along with occasional evening meetings.

Job responsibilities
To act as the first point of contact for the PET via telephone, email, or written correspondence.
Provide accurate information on how to raise concerns or make complaints in line with practice procedures.
Liaise with patients or their advocates to obtain further information regarding complaints or concerns.
Accurately record all new concerns, complaints, and feedback received, maintaining an efficient and up-to-date filing system.
Acknowledge receipt of written complaints and liaise with managers to ensure responses are processed on time.
Provide full secretarial support to the PET, including note-taking/minutes, photocopying, transcribing recordings, and writing letters.
Organise meetings and venues or digital access, collate and distribute agendas, follow up on actions, and share meeting notes appropriately.
Assist PEM in investigating complaints as required.
Support the preparation and circulation of weekly staff updates on behalf of the PEM.
Assist PET and QSG Teams with gathering and collating incident information as needed.
Provide general PA support during planned or unplanned leave.
