Helpdesk Administrator – TipTopJob

Location: Hospital (NHS Sites), West Midlands, England, United Kingdom

Schedule: Rotational Shift Pattern (Day, Weekend, Bank Holidays) – 37.5 hours a week

Salary: GBP 15 per hour

We are seeking a highly organised, customer‑focused Helpdesk Administrator to manage the full life cycle of maintenance work for our Sustainable Facilities Management contract across NHS sites. This critical role is responsible for communication, compliance, and administration.


Key Responsibilities

* First point of contact for all incoming service requests (phone, fax, email); log, prioritise, and assign requests to meet service level agreements (SLAs).
* Interpret, log, and manage work orders using the Maximo system; apply the correct SLA and prioritise urgent jobs.
* Distribute work orders to in‑house engineers and subcontractors; raise purchase orders and arrange supervisor/engineer workwear via Coupa.
* Ensure compliance with statutory and company procedures; support general administrative duties, report collation, minute-taking at contractual meetings, and HR record keeping (leave, sickness).
* Work closely with the Technical team; cover during absences and support the Operations team with various projects.


Essential Requirements

* Education: 5 GCSEs at grade C or above or equivalent.
* Strong IT skills, including Microsoft Office (Word, Excel).
* Excellent communication, confidence, patience, and organisational skills; ability to manage time, work to deadlines, and operate on own initiative.
* Ability to work a rotational shift pattern, including day and weekend shifts.
* Eligibility to live and work in the United Kingdom.


Desirable Experience

* Facilities Management (FM) or Technical environment experience.
* Knowledge of CAFM systems, particularly Maximo, and finance systems like Coupa.
* Experience working in a healthcare environment.
