Studio / Traffic Manager (6-Month Contract, with View to Permanent)

Were looking for an exceptionally organised, proactive, and calm-under-pressure Studio / Traffic Manager to join Arena3 on an initial 6-month contract, with the potential to evolve into a full-time, permanent position.This role is the heartbeat of our studio ensuring projects run smoothly, people are in the right place at the right time, and the business operates with clarity and rhythm. Youll work closely with the Arena3 team and clients across every area of delivery: project scheduling, resourcing, financial tracking, and internal communication.Youll be the person who keeps the machine running and enabling the team to focus on what they do best: world-class creative work.
Responsibilities
Operational Flow
* Run daily/weekly team check-ins, ensuring priorities and deliverables are clear.
* Maintain studio schedules and project timelines across Trello, Float, and shared calendars.
* Track time and capacity across all active projects; flag potential clashes or delays early.
* Manage internal and client milestones, ensuring deadlines are met without compromise on quality.
People & Resourcing
* Oversee freelancer and supplier bookings, NDAs, and onboarding.
* Track annual leave, travel, and key events for all team members.
* Act as the first point of escalation for resourcing or delivery challenges.Finance & Admin
* Support project leads with budgeting, invoicing, and expense tracking via QuickBooks.
* Ensure purchase orders, payments, and receipts are processed accurately and on time.
* Liaise with accountants and external partners to maintain smooth operational flow.
Systems & Compliance
* Manage IT, software subscriptions, and file systems (Google Drive, Notion, etc.).
* Maintain documentation, including contracts, NDAs, and policies.
* Ensure Arena3s systems and workflows are efficient, secure, and scalable.
Culture & Delivery
* Help establish studio rituals and communication rhythms that keep the team motivated and aligned.
* Protect the creative process keeping timelines realistic, expectations managed, and standards high.
* Bring a sense of calm, structure, and clarity to an ambitious and fast-moving environment.Who You Are
* Youre the person everyone trusts to make it happen. You combine methodical organisation with warmth and intuition. You understand the tempo of a creative studio the need for structure, but also flexibility. You have an eye for detail, a head for logistics, and a heart for collaboration.
You bring:
* 3+ years experience in a studio, agency, or production-operations environment.
* Proven success in scheduling, project coordination, or traffic management roles.
* Confidence with project-management tools (Trello, Float, Asana, etc.) and cloud software.
* Working knowledge of QuickBooks (or equivalent finance tools) and sound business awareness.
* Excellent communication skills clear, concise, and empathetic.
* The ability to thrive in a small, high-performance team with shifting priorities.Bonus Points:
* Experience within the sports, entertainment, or creative industries.
* Familiarity with hybrid teams and remote collaboration.
