Personal Assistant to Vice President Operations UK & Ireland, Senior Director Operations UK&I and Chief Operating Officer NoMad
Lead role supporting the Vice President Operations UK & Ireland at Hilton, full‑time administrative support.
Position Summary
Coordinating travel, diary, expenses, meetings and event management for VP Operations UK&I and Senior Directors. Liaising with owners, AGMs, GMs, global hotel pipeline. Working with corporate communications on messaging. Occasional travel required.
Key Responsibilities
* Diary management, scheduling, travel arrangements, correspondence and presentation preparation.
* Expense report review, invoice checks.
* Meeting notes and agenda preparation.
* Event coordination: GMs calls, leadership meetings, owner meetings, conference arrangements.
* Communication support: internal messages, social media content creation and distribution.
* Other administrative duties: gatekeeper functions, spreadsheet maintenance, presentation creation.
Qualifications
* Proactive, self‑starter, detail oriented, strong initiative and ownership of responsibilities.
* Excellent time management, organization, coordination and communication (written & verbal).
* Confidentiality and discretion in handling sensitive information.
* Proficient in MS Office (Word, Excel, PowerPoint, Outlook), Teams, Webex, Instagram, LinkedIn and other relevant tools.
* Flexible, willing to work occasional overtime and travel when required.
Additional Requirements
* Occasional overnight travel, including out‑of‑hour and weekend support when needed.
Preferred Qualifications
* Prior experience in a similar personal assistant or executive support role.
