Position: Part-Time Administrative Assistant

Reports to: General Manager

(pro-rata for 3 days / 22.5 hours per week

Contract Start Date: 1st September 2025 (Negotiable)

Contract End-date: Fixed-term to 31st March 2026. (Position may be made permanent)

Hours: 09.00 to 17:00, with 30 minutes for lunch (7.5 hours per day)

Location: Leicester – Belgrave Road (LE4)

Holiday entitlement: 20 days FTE (Pro-rata).

Purpose of the post:

The Part-Time Administrative Assistant is a varied role

which is pivotal in the smooth running of Leicester Dance Theatre Ltd.

You will provide day-to-day administration for the organisation

cross the key areas outlined below.

Job Description:

The role could be an entry position for an individual looking for a career in the arts and creative industry or could suit a more experienced person. This role requires a confident person who is very organised has

great interpersonal communication skills. A ‘can-do’ attitude and a willingness to get stuck in is more important than previous experience as training and support will be given.

This is a list of the types of tasks you will be asked to do. It is not intended as an exhaustive list, nor restrictive, but it is intended to give you an idea of the breadth and variety of the role.

General Administration

* Provide administrative support to the various functions within the organization.
* Answer the telephone and respond to email enquiries promptly and effectively.
* Manage studio hires and liaise with external hirers. Ensure they are correctly invoiced.
* Book hotels, venues and flights in line with budget constraints.
* Provide administrative support for shows and events (eg collating printing materials, ordering equipment, and sorting out van hire).
* Manage the company internal diary
* Support the General Manager & Communication and Operations Manager in carrying out operations and admin duties eg:
* Maintain levels of stationery and other consumables,
* Co-ordinate annual testing of electrical equipment (PAT testing)
* Conduct weekly fire alarm and emergency lighting tests.
* Submit quarterly meter readings for utility bills
* Set up Team meetings
* Support the Executive Director to co-ordinate meetings

Provide Administrative Support to the Marketing Team including:

* Updates to the company website
* Collating and creating content for newsletters
* Monitor social media inboxes and comments
* Create and distribute evaluation and surveys
* Create marketing materials e.g. flyers and posters
* Maintain participant and audience databases

General:

* Undertake any other duty or responsibility, which may reasonably be requested by the Executive Director, Artistic Director or General Manager.
* Assist at public events organised by Aakash Odedra Company as required

Person Specification:

* Strong administrative skills (Knowledge of Word & Excel)
* A friendly confident person who is willing to work off their own initiative
* A positive outlook with a ‘can-do’ approach
* Teamwork skills and proven ability to work collaboratively
* Excellent personal communication skills
* Proven organisational, multi–tasking and planning skills
* Right to work in the UK
* Knowledge of the arts and UK dance sector
* A knowledge and understanding of Marketing
* An understanding and appreciation of South Asian culture
