We’re looking for a dynamic, compassionate, and highly organised administrator who is flexible and able to work under pressure and deal with a variety of tasks.
The Wheelchair Service provides loan wheelchairs and specialist supportive seating to people of all ages who have a long-term mobility need.
What You'll Do:
1. Manage appointments, phone calls, and patient inquiries
2. Coordinate with the clinical staff and departments to ensure smooth operations
3. Handle patient records and maintain confidentiality

This is a part-time fixed-term role (Maternity cover). The working pattern is Tuesday and Friday.

Main Responsibilities:
* Maintain a waiting list of patients referred to the Wheelchair Service
* Manage diaries, emails, and post as required
* Work independently, prioritising and managing workload quickly and accurately, responding to service needs
* Receive and process referrals
* Contact patients to arrange and remind appointments and book transport
* Deal with therapy records and prepare patient files per policies
* Act as first point of contact for visitors and patients
* Handle incoming calls, refer to other departments, provide information
* Report broken equipment and coordinate maintenance
* Check invoices, record information, and prepare for approval
* Respond to enquiries from healthcare professionals within and outside Wiltshire
* Cover for other administrative staff during absences

The Ideal Candidate
We seek a compassionate individual with excellent communication skills, attention to detail, and the ability to build effective relationships. You should be approachable, flexible, and capable of working independently and as part of a team. Proficiency with electronic patient records and maintaining accurate documentation in a busy environment are essential.
