Job overview

The Imaging Department is looking for enthusiastic, motivated and adaptable individuals with experience in clerical and administration duties.

The post holder will provide a comprehensive and efficient reception and, examinations booking service to patients attending the Imaging Department. You will have to respond to and deal with a variety of often complex requests in a timely manner, whether by telephone, email or in person.

This role will require the postholder to cover the departmental hours of service which are 8am to 8pm Monday to Friday.


Main duties of the job

* To provide a front line reception service to patients attending for X-rays, ultrasound & obstetric ultrasound, CT, MRI and other imaging procedures.
* To ensure the successful preparation of appointments covering all imaging modalities and sites following guidelines consistent with requested examination, book patients at the reception, and liaise with staff in the department.
* Responsible for handling and assisting patients/visitors with queries of a sensitive nature, explaining procedures in laymen's terms, what to expect in procedures in the absence of clinical staff, emphasising the examination requirements as per agreed procedures.
* Managing phone queries from patients, other hospital staff and GPs. Ensuring any information is acted upon promptly including updating Soliton and/or other patient administration systems accordingly.
* Responsible for maintenance of the waiting list and advising the Imaging Officer Coordinator of any issues especially possible breaches before they arise so that actions can be taken early to ensure breaches do not occur.
* Responsible for maintaining departmental hours of service (8am to 8pm), covering other team members during holiday or other absences and offering assistance to other clerical staff in all areas including cross site working when required.

Qualifications and Training

* NVQ3 or equivalent
* Good general education to include GCSE/CSE English, or equivalent experience


Experience

* Previous experience of reception duties, dealing directly with members of the public
* Confident use of the telephone, good manner and able to take or give accurate messages
* Confident to act on own initiative with minimal supervision
* Ability to multi-task and also be flexible throughout the day
* Knowledge and demonstrable awareness of good customer service
* NHS experience


Skills and Knowledge

* Excellent use of computer / keyboard skills
* Able to organise and prioritise own work schedule
* Ability to work under pressure in a busy working environment and to be able to work independently and as part of a team
* Good attention to detail for accurate input of data
* Good communication skills with ability to communicate at all levels
* Good command of English language
* Demonstrable experience in dealing with the public in sensitive and confidential information
* Understanding of Information Governance
* Working knowledge of Soliton, iCare/Cerner systems preferred although full training is provided
* Able to demonstrate an aptitude for training
