Medics Network are seeking a highly organised, motivated, and experienced Office Team Lead to oversee and support a team of up to 20 staff members. In this pivotal role, you will be responsible for ensuring the smooth day-to-day running of operations, driving team performance, and fostering a positive, collaborative working environment.
Key Responsibilities
* Team Leadership & Management
* Supervise, mentor, and provide ongoing support to a team of up to 20 employees.
* Set clear goals and performance expectations, ensuring individual and team targets are met.
* Conduct regular team meetings, one-to-one check-ins, and performance reviews.
* Monitor and manage workload distribution, reallocating tasks where necessary.
* Maintain high-quality standards and ensure operational deadlines are consistently achieved.
Collaboration & Communication
* Act as the primary liaison between team members and the Operations Director.
* Encourage open communication across the team and swiftly resolve conflicts when they arise.
* Build strong working relationships with both internal and external stakeholders.
Coaching & Development
* Identify training needs and support team members’ professional growth and development.
* Provide regular, constructive feedback to improve both individual and team performance.
* Recognise and celebrate achievements to maintain motivation and high engagement levels.
Administration & Process Improvement
* Manage and coordinate clinic dates, appointments, and venues to ensure smooth operations.
* Handle administrative tasks, including updating clinic lists, managing doctor worklists, and processing enquiries.
* Authorise venue purchase invoices and ensure accurate record-keeping.
* Log and monitor staff absences, sickness, holidays, and overtime.
* Continuously review internal processes and recommend efficiency improvements.
Required Skills & Competencies
* Proven leadership experience managing a team of 15–20 employees or more.
* Excellent communication, interpersonal, and conflict resolution skills.
* Strong organisational and time-management abilities, with the capacity to prioritise multiple tasks.
* A problem-solving mindset with sound decision-making skills.
* Ability to motivate, inspire, and engage team members.
* Proficiency in MS Office Suite, Excel, Google Workspace, or similar tools.
Qualifications & Experience
* 5+ years of experience in a supervisory, team lead, or management role.
* Background in office administration, operations, or customer support preferred
* Strong technical skills and comfort using various software platforms and portals.
