Responsibilities
* Provide a comprehensive and proactive personal assistant service to the Cellular Pathology Department.
* Organise the administrative workload of the Department independently and exercise significant initiative.
* It is advantageous to have some HR experience and knowledge.
* Arrange meetings, functions, prepare agendas, type letters and minutes, dispatch documents as appropriate whilst maintaining accuracy.
* Check multiple diaries to organise complex meeting schedules.
* Receive and process all incoming mail to the Department, acting independently on correspondence, and bringing relevant matters to the timely attention of the Service Lead.
* Deal professionally with complex, sensitive issues whilst maintaining confidentiality, e.g. changes in staff personal circumstances, complaints, disciplinary matters in accordance with Trust procedures.
* Implement effective communication systems, including undertaking 1:1 meetings and monthly review meetings.
* Maintain Cellular Pathology personal files and undertake routine administrative personnel procedures.
* Assist the Service Lead in the administration of recruitment of technical staff and admin staff in Cellular Pathology including all documentation associated with recruitment (Starter/Change/Leaver Forms, Letters and Contracts).
* Monitor Cellular Pathology staff holidays and sickness absence data.
* Coordinate, organise and maintain records of mandatory training achievement for the whole department.
* Assist the Service Lead in maintaining up‑to‑date job descriptions and staff employment records.
* Assist the Service Lead in the induction of all new staff.
