Job Specification Position : Fleet Coordinator Department : Fleet Reporting to : SHEQ Manager Status of post : Full-Time Permanent Salary: Remuneration Package will be competitive and in line with experience Location: Portadown Job Summary: We are seeking a highly organised and detail-oriented Fleet Coordinator to manage the daily operations of our vehicle fleet. This role involves coordinating vehicle maintenance, ensuring compliance with legal and safety standards, scheduling usage, and supporting drivers to ensure efficient and effective transport operations. A key responsibility includes overseeing accident management processes to minimize vehicle downtime and ensure appropriate reporting and follow-up. The Fleet Coordinator will also take ownership of accident management, driver documentation, and telematics reporting to ensure a safe, efficient, and compliant fleet. Main Duties and Responsibilities: Vehicle management Coordinate the scheduling, maintenance, and repair of company vehicles working alongside our fleet partners Monitor vehicle usage and condition, mileage, and fuel consumption to optimize efficiency Work alongside our fleet partner to ensure maintenance of accurate records for each vehicle including insurance, service history, MOT, and tax support compliance with all relevant regulations and company policies Liaise with drivers, service providers, and internal departments and senior managers to resolve issues quickly and effectively Manage breakdowns and emergency roadside assistance Support vehicle allocation based on operational needs Track and manage fleet-related expenses and assist in budget planning Maintain and administer fleet management systems, ensuring data accuracy and timely reporting Accident Management: Coordinate with insurance providers, repair services, and authorities Support investigations, maintain accident records and ensure all incidents are closed out effectively while maintaining rigorous records Driver Compliance: Manage driver authorisation and documentation ensuring only qualified and approved staff operate company vehicles. Coordinate driver inductions and support ongoing compliance training Speeding and Behaviour Monitoring: Use telematics systems to track driver behaviour, including speeding, harsh braking, and idling and produce reports on trends for senior management. Liase with HR and senior management team to conduct speeding and driving disciplinaries where necessary to address non-compliance Requirements: Proven experience in a logistics or fleet coordination role. Experience in accident or incident management. Strong organisational and multitasking skills. Excellent communication and problem-solving abilities. Proficiency in MS Office and fleet management systems. Understanding of vehicle maintenance schedules and legal compliance Valid UK driving licence Health & Safety knowledge related to fleet operations.
