Position Summary: We are seeking a highly organised and detail-oriented IT Operations Coordinator to support the smooth functioning of day-to-day IT operations. This role will assist in managing IT requests, maintaining documentation, coordinating vendor interactions, and ensuring timely communication across IT and business teams. The ideal candidate will have strong administrative skills and a working knowledge of IT systems and processes. Key Responsibilities & Accountabilities: Operational Support Oversee daily IT operations, including system monitoring, user support, and incident tracking. Act as the escalation point for IT issues, partnering with our third-party vendor to drive smooth and efficient resolutions. Maintain and monitor our third-party IT service desk tickets, ensuring timely resolution and follow-up. Review IT-related invoices and manage procurement of peripherals. Maintain and improve IT knowledge base and documentation on the companies Intranet. Oversee and coordinate the onboarding process for new starters. Systems & Infrastructure Coordination Support the implementation and maintenance of IT systems, networks, and security tools. Coordinate software and hardware upgrades, patches, and rollouts with minimal business disruption with our third-party vendors. Ensure proper documentation of IT assets, configurations, and procedures. Projects & Coordination Assist in planning and coordinating IT projects, including timelines, resources, and communications. Act as a technical specialist in local/global IT projects (e.g., office moves, M&A). Collaborate with cross-functional teams to ensure IT initiatives align with business needs. Track project progress and provide regular status updates to leadership. Compliance & Process Management Enforce IT policies, procedures, and best practices. Ensure compliance with data protection, cybersecurity, and regulatory standards. Monitor and report on key IT performance metrics and service-level agreements (SLAs). Vendor & Stakeholder Management Coordinate with external vendors for IT services, contracts, and support. Facilitate clear communication between IT teams and non-technical stakeholders. Manage procurement and renewal of IT equipment, licenses, and subscriptions. Desired skills and personal qualities: The successful candidate will have a good knowledge of computers, driven by enthusiasm & willingness to learn new skills. A natural interest and passion for computers and technology is required. Able to communicate clearly in a non-technical manner. Well-organised individual. Be able to work in a team and on his/her own initiative. Demonstrate practical knowledge and problem-solving skills. Self-motivated, with a 'can do’ attitude. Education/Experience: 3-5 years’ experience within an IT support or a similar technical role. Degree or diploma in Computer Science, Electronic Engineering, or equivalent experience Strong knowledge of: Windows, Microsoft Server infrastructure and Microsoft Azure/Entra/O365 Network infrastructure and VoIP systems. Mobile device and telephony management. Knowledge of IT infrastructure, Cloud Services and SaaS. ITIL framework and CMDB practices. Excellent communication skills, able to explain technical issues to non-technical users. Proficiency in ticketing systems and collaboration tools. Experience working in a national or global organisation preferred. Willingness to travel. Preferable: Experience working in a fast-paced business and exposure to mergers & acquisitions. Experience working within the insurance, financial services, or related industries.
