Overview
The post holder will liaise with patients, health professionals and other agencies as required. The post holder will have excellent communication skills, be aware of the importance of maintaining confidentiality.
Key Responsibilities
* Liaise with patients, health professionals and other agencies as required.
* Ensure prompt updating of the electronic record keeping system in relation to staff/patient activities and input data into the computer system regarding referrals, episodes, contacts and discharges in line with existing policies.
* Coordinate staff activities and keep the team diary up to date.
* Receive information and ensure it is passed on as appropriate.
* Communicate clearly and effectively over the telephone within the boundaries of confidentiality.
* Maintain accurate, timely electronic records and ensure they are kept safely in accordance with LWSW policies, including the Data Protection Act (1998) and the LWSW Confidentiality Policy.
* Demonstrate a positive attitude to mental health, attending to patients with respect and courtesy.
* Allocate work and ensure it is completed within given timescales, working with the administration and clerical teams to ensure continuity of service.
* Assist in the recruitment and selection of administration and clerical staff.
* Manage diaries for doctors.
* Train new admin and clerical staff members as required.
* Provide a quality administration service to all members of the multi-disciplinary team, including production of letters, assessments, client case notes and other service-related documentation.
* Adhere to local policies and procedures as well as LWSW policies and procedures.
* Assist in the projection, management and development of new admin and clerical systems and processes to ensure the service runs effectively.
* Provide general administrative and secretarial support to the Liaison Psychiatry Team, Team Manager and duty Medic/Consultant, including prompt updating of the electronic record keeping system and input of data regarding referrals, episodes, contacts and discharges in line with existing policies.
* Based at Derriford Hospital but may require travelling across locality.
* Provide typing, filing, ordering stationery, arranging and contributing to meetings including taking minutes.
* Work flexible hours across 7 days a week.
* possess basic knowledge and skills to audio type dictation from the Consultant/Medics.

Knowledge, Training and Experience
* Responsible for updating knowledge and skills, including LWSW mandatory training, and adherence to policy and legislation relating to the team and the post.
* Support staff in keeping up to date records of all staff training; collate information and provide the training department with regular reports.
Analytical and Judgement Skills
* Ability to deal with emergency telephone calls and act as appropriate with the support and supervision of qualified nursing/medical staff.
Planning and Organisational Skills
* Ability to plan and prioritise own workload on a day-to-day basis.
* Attend, minute and take part in multi-disciplinary team meetings.
* Plan meetings and accommodation as required.
* Liaise with other services to arrange appointments.
* Keep information and resources on notice boards up to date.
Physical Skills
* Competent keyboard skills.
