Position Details
This is a permanent, full-time position with a shift pattern from Monday to Friday, 09:00 to 17:30.
Role Overview
We seek a friendly, organized individual with good communication skills to manage clerical and administrative tasks within our Pharmacy Team. The role involves handling routine enquiries from approximately 180 pharmacy staff, acting as the first point of contact, and ensuring timely and appropriate communication via face-to-face, telephone, or email interactions.
Key Responsibilities
1. Using the Scottish Time Standard System to manage staff shifts, overtime, absences, and reports.
2. Processing sensitive data and managing department resources, including staff leave requests.
3. Attending meetings, preparing agendas, recording minutes, and inputting data into databases.
4. Maintaining filing systems, preparing documents, and circulating organisational information.
5. Participating in monthly audits and complying with quality and policy standards.
Work Environment and Hours
The post is based at Gartnavel General Hospital and Glasgow Royal Infirmary, with a weekly schedule split as follows: Monday-Wednesday 09:00-17:00, Thursday-Friday 09:00-17:00, with a 30-minute break each day.
Qualifications and Training
Applicants should have three standard grades (or equivalent), including Mathematics and English, and basic IT skills. Previous hospital pharmacy experience is desirable but not essential, as full training will be provided.
